Job Qualifications/Requirements
- 2–4 years’ experience in an EA, PA, or senior admin/VA role.
- Excellent written and verbal English, strong research skills, and high attention to detail.
- Comfortable working to Australian business hours — a firm requirement, not a preference.
- Trustworthy with confidential and financial information.
- Confident using structured frameworks to solve problems and communicate clearly, rather than escalating without first thinking it through.
- Comfortable with Google Workspace, CRM systems (HubSpot a plus), and project/task tools (Asana a plus).
- Prior exposure to a sales, marketing, or customer-service environment is a plus, though not required.
- A track record that shows steady tenure — we’re looking for someone who wants to grow with a company, not a stepping stone.
- A friendly, professional manner and a genuine desire to help — this is a small, close-knit team.
Job Responsibilities
- Manage the MD’s calendar, travel, and personal appointments, keeping business and personal commitments organised together.
- Triage and manage the MD’s inbox, handling routine correspondence directly and flagging what needs his attention
- Keep the CRM and sales materials accurate and up to date following the MD’s customer interactions.
- Help maintain digital touchpoints with customers and distributor contacts alongside our sales team — tracking engagement, following up on inbound leads, and keeping CRM records current with relationship history.
- Quality-check purchasing administration work, once trust and accuracy are established.
- Act as a coordination point with our external financial and property advisors.
- Research ad-hoc questions and turn them into short, actionable recommendations.
- Maintain and improve our filing and information systems so things stay easy for the team to find.
