Tech-Savvy Executive Assistant

Job Description

We are seeking someone who is highly organised, reliable and detail-oriented. You enjoy bringing structure to messy information and helping a busy business owner stay focused. You are comfortable with technology, confident on the phone, and able to follow up with people politely but firmly.

You do not need to be a software developer, but you should be interested in AI, automation and business systems. You should be comfortable learning new tools, documenting processes, and helping implement better ways of working.

Job Qualifications/Requirements
  • Executive assistant, senior admin or business support experience.
  • Strong calendar and task-management skills.
  • Good Microsoft Outlook, Teams, Planner and To Do ability.
  • Excellent written and verbal communication.
  • Good phone manner.
  • High attention to detail.
  • Strong follow-up skills.
  • Ability to handle confidential information.
  • Ability to document processes and create SOPs.
  • Comfort supporting both business and personal admin tasks.
  • Highly Regarded:
    • Experience with AI tools such as ChatGPT, Copilot or similar.
    • Experience with N8N, Power Automate, Zapier or Make.
    • Experience with Dext, Pipedrive or website content upload.
    • Experience creating SOPs or training videos.
    • Experience helping implement new business systems.
    • Basic coding, web development or automation knowledge.
Job Responsibilities
  • Manage calendar and daily priorities.
  • Monitor Microsoft Planner and follow up delegated tasks.
  • Track team task ownership, overdue items and capacity.
  • Triage phone calls and arrange appointments with suppliers, staff, consultants and contractors.
  • Assist with personal admin, including travel, bills, reminders and family calendar coordination.
  • Assist with business admin, including Dext, Pipedrive, documents and website uploads.
  • Create SOPs, checklists and process documentation.
  • Help capture messy processes and turn them into clear systems.
  • Test tools and support rollout of new systems.
  • Maintain and operate systems once implemented.
  • Coordinate with automation specialists where needed.
  • Use AI tools for research, summaries, training content and workflow support.
  • Help operate AI systems that summarise meetings and extract action items.
