As our Systems Champion & Operations Specialist, you are the architect of our internal clarity and efficiency at thinkpac. You will balance critical day-to-day supply chain operations with a heavy focus on process extraction, documentation, and automation. You will help us transition tribal knowledge into scalable workflows in System Hub, while leveraging AI and automation to make our distribution of sustainable packaging faster and smarter.

Job Qualifications/Requirements
- Systems-Minded: You have a natural inclination toward organization and see the world in inputs, processes, and outputs.
- Curious Problem Solver: You know how to ask the right questions to pull complex processes out of team members’ heads.
- Passionate Improver (with Patience): You love AI and automation, but you understand that a process must be mapped and simplified before it can be automated.
- Analytical Rigor: You have a strong affinity for numbers and take pride in accurate data and margin reporting.
- Leadership & Relationship Building: You can lead a project and build the trust necessary to get buy-in from the team during process changes.
- Automation Platforms: Proficiency in n8n (or similar advanced logic tools like Zapier) for complex business logic.
- Knowledge Management: Experience with System Hub or equivalent platforms.
- Inventory/ERP: Demonstrated experience with Fishbowl WMS (or similar inventory management software) is highly preferred.
- Data Mastery: Strong command of Google Workspace and spreadsheet data functions.
- AI-Savvy: A “tech-first” mindset with an interest in how AI can be leveraged within standard business systems.
Job Responsibilities
- Systems Leadership, SOPs & AI Automation:
● Knowledge Extraction: Proactively interview team members, record workflows, and extract complex “people flow” into structured digital processes.
● System Hub Management: Act as the primary Point of Contact (POC) for System Hub, ensuring our Minimum Viable Systems (MVS) are documented, organized, searchable, and adopted by the team.
● AI & Workflow Automation: Once a process is clearly documented, identify opportunities to use AI, or n8n (or similar software) to build high-level automations that eliminate manual bottlenecks.
● Continuous Improvement: Monitor existing Google Workspace and Fishbowl workflows to identify friction points and implement updates that make the process 1% better every day.
● Ad-hoc Support: Execute miscellaneous tasks as required to support the evolving needs of a fast-paced, AI-integrated business. - Strategic Procurement & Purchasing:
● Purchase Order Management: Execute and oversee the lifecycle of purchase orders using Fishbowl WMS to ensure timely stock availability of our products.
● Vendor Coordination: Communicate with offshore and local suppliers, track container movements, and ensure compliance with thinkpac’s verified quality standards.
● Supply Chain Support: Ensure the physical reality of our inventory matches the systems we build. - Reporting & Margin Analysis:
● Data Integrity & Insights: Act as the “Single Source of Truth,” transforming raw inventory and sales data into actionable business insights.
● Margin Analysis: Regularly review product costs, customer profitability, freight variables, and pricing within Fishbowl to ensure healthy profit margins are maintained.
● Advanced Reporting: Utilize intermediate/advanced Excel or Google Sheets (Pivot Tables, VLOOKUPs) to generate inventory forecasts and identify slow-moving stock.
