We are looking for a Systems & Automation Champion to become the single point of accountability for Inck’s internal knowledge base. This is a “systems-first” role designed for a “Pioneer” who loves turning business chaos into structured, repeatable processes.
Unlike a general admin or developer role, you will be the architect of our company’s “Source of Truth.” Your mission is to capture undocumented workflows, translate them into clear step-by-step guides using the Business Blueprint methodology, and implement high-leverage automations (via HubSpot and AI) to streamline operations. You will be the bridge between technical logic and team execution, ensuring that our systems are not just written, but actively adopted.

Job Qualifications/Requirements
- Experience: 2+ years of proven experience in systems documentation, process improvement, or knowledge management, ideally as a “pioneer” hire in an SME or start-up environment.
- Technical Logic: High proficiency in building complex HubSpot workflows and automations. While we use CommonSku, we value candidates who show deep logic in any major ERP/CRM platform.
- AI Literacy: Hands-on experience using Claude (or equivalent AI) as a daily partner for drafting, refining, and streamlining documentation.
- Communication Mastery: Exceptional written English with the ability to write in short, concrete, and ambiguity-free numbered steps.
- Soft Skills: A “push politely” mentality—you must be comfortable interviewing senior leadership and digging deep for the specific details that make a process work.
- DISC Profile: Ideally a CS or SC profile—someone who finds genuine satisfaction in precision, accuracy, and closing feedback loops.
Job Responsibilities
- System Capture: Conduct weekly “capture sessions” to interview team members and translate live work into structured 1Brain pages.
- Documentation Excellence: Record screen tutorials (Looms) and create written SOPs using pre-deployed templates to ensure consistent quality across the library.
- Drive Adoption: Ensure every documented system is formally “adopted” (meaning it has been successfully used on a live job by someone other than the author).
- Smart Automation: Once a system is stable, implement automations using HubSpot workflows, CommonSku triggers, and AI drafting to eliminate manual tasks.
- Library Management: Maintain the folder structure and tagging within the knowledge base to ensure the team can find any system in seconds.
- Performance Tracking: Hit key milestones, including having 50+ documented systems live and 20+ systems formally adopted within your first 90 days.
