We are seeking a highly organized Virtual Assistant to support our CEO with social media strategy, content creation, marketing strategy and general administrative tasks. The ideal candidate will manage multiple projects simultaneously while maintaining exceptional communication standards that align with our luxury brand positioning. Job Qualifications/Requirements
- Experience as a VA: Prior virtual assistance with a luxury brand – the ideal candidate must have experience of managing multiple tasks and customers – this is a busy environment and we are looking for someone who will thrive in this.
- Experienced Social Media Manager: Social media management: Experience of managing and creating content on multiple platforms (essential that you are proficient with Instagram (including Reels, TikTok, Pinterest). We need someone who can create a strategy and execute the content creation based on this. You will be able to efficiently produce and edit top level social media content.
- Technical Experience: You must be proficient with Canva, Mailerlite, Hubdoc, Xero, and spreadsheet management (Excel/Google Sheets).
- Communication: Exceptional written and verbal English; professional tone suitable for high-end clientele.
- Organization: Strong multi-tasking and project management experience with exceptional attention to detail.
- Marketing Strategy: Writing compelling blog posts, sourcing the images.
- Must have experience in blog writing and keyword selection.
- Financial Acumen: Basic bookkeeping/reconciliation experience required. We use Xero, experience of this would be preferred.
- Attributes: You must be self-motivated, proactive, reliable, and able to work independently with minimal supervision.
Job Responsibilities
- Social Media & Marketing (~20 hours/week):
• Present CEO with a cohesive strategy for social media, blogs, and newsletters month by month.
• Create and schedule 3 weekly Instagram posts using our bank of photos or Canva templates, complete with captions and hashtags to drive followers and enquiries.
• Edit, caption, and publish 2 weekly Instagram reels from raw team footage with relevant hashtags.
• Post to TikTok 3 times per week in alignment with social media strategy.
• Grow Pinterest presence through strategic posting to generate enquiries and increase business turnover.
• Monitor social media activity monthly and maintain spreadsheet tracking for CEO review and comparison.
• Write 10 blogs per month aligned with strategy, collating photos from archives for CEO.
• Create and distribute 2 newsletters per month via Mailerlite to subscriber lists. - Administrative Tasks (~10 hours/week):
• Reconcile expenses using Hubdoc and Xero, highlighting missing receipts to CEO.
• Log all new enquiries in the conversion chart spreadsheet and monitor response times to ensure seamless communication.
• Manage CEO diary and project timelines to ensure deadlines are met.
• Prepare monthly forecasting spreadsheets to monitor cashflow and income.
• Handle inbox management and prioritize communications.
• Coordinate travel and accommodation bookings for the CEO.
