Job Description

We are seeking a dedicated and detail-oriented Site Facility Operations Support professional to assist in ensuring the smooth operation and maintenance of our facility. This role will focus on maintaining a safe and well-functioning work environment while supporting compliance with health and safety regulations. The ideal candidate will collaborate with vendors, track facility maintenance issues, and help manage inventory for supplies and equipment.

  • Strong organizational and problem-solving skills with attention to detail.

  • Proficiency in Gsuite and basic facility management tools.

Job Responsibilities
  • Assist in maintaining a well-functioning and safe site, ensuring adherence to health and safety regulations.
  • Coordinate with vendors, contractors, and service providers under the guidance of the Site Administration Officer.
  • Monitor, track, and report facility maintenance issues and facilitate necessary repairs or upgrades.
  • Conduct regular inventory checks for facility supplies and equipment, ensuring proper stock levels.
  • Support the execution of site improvement projects and operational enhancements.
  • Assist in ensuring compliance with company policies and industry best practices related to facility management.
  • Provide support for emergency preparedness and response initiatives within the facility.
  • Perform other related duties as assigned by the Site Administration Officer.
  • Process and fulfill client orders from the WrkPod store efficiently and accurately.
  • Assist in managing stock levels and inventory control of merchandise and office supplies.
  • Coordinate with suppliers for restocking and order placements.
  • Ensure proper merchandising activities, including product displays and promotional setups.
  • Organise and distribute WrkPod staff work apparel to company sites.
  • Maintain accurate records of uniform allocations and reorders.
  • Coordinate with HR and Operations for uniform issuance to new employees.
  • Assist in monitoring the performance and productivity of direct service VAs and WrkPod staff in collaboration with the Site Administration Officer.
  • Support documentation and reporting of site-related activities, including attendance tracking and facility logs.
  • Prepare reports for the Site Administration Officer and Operations Manager regarding operational challenges and improvements.
  • Ensure timely and organised record-keeping for administrative functions.
  • Assist in maintaining compliance with WrkPod policies and applicable regulations.
  • Support emergency preparedness and safety protocols under the guidance of the Site Administration Officer.
  • Participate in regular site inspections and safety audits.
  • Internal: Site Administration Officer, Operations Manager, Facilities Supervisor, HR Department, Customer Success Team, VAs, WrkPod Staff.
  • External: Vendors, contractors, service providers.
