Job Description
The Senior Finance Specialist plays a senior operational and analytical role within the Finance team, responsible for end-to-end oversight of accounts receivable, billing governance, reconciliations, financial controls and reporting.
Beyond execution, the role provides insight, escalation management, and process leadership, supporting the CFO with reporting, audit readiness, system integrity, and continuous improvement as WrkPod scales.
The Finance Specialist acts as a subject-matter expert for receivables, Stripe/Xero integration, client account integrity, and store transaction flows, while supporting Finance Associates and partnering cross-functionally with Operations, Sales, and Leadership.

Job Qualifications/Requirements
- Bachelor’s degree in Accounting, Finance, or a related discipline.
- 3–5 years’ experience in accounts receivable, financial accounting, or a senior bookkeeping role.
- Strong hands-on experience with Xero, Stripe, and integrated payment systems.
- Advanced proficiency in Microsoft Excel and Google Sheets.
- Experience supporting multi-site or service-based businesses preferred.
- Exposure to virtual professionals, BPM, or international client environments is advantageous.

Job Responsibilities
- Accounts Receivable Leadership & Control:
● Own and oversee the end-to-end accounts receivable lifecycle, ensuring timely, accurate invoicing and zero unresolved balances.
● Review and approve invoicing outputs prepared by Finance Associates.
● Proactively manage AR aging, credit exposure, and high-risk accounts, escalating issues to the Finance Manager where required.
● Ensure Stripe payment reliability, proactively identifying failed or at-risk payments and implementing preventative controls.
● Maintain predictable Stripe payout timing and cashflow visibility. - Reconciliations & Financial Integrity:
● Lead monthly and ad hoc reconciliations across Xero, Stripe, and WrkPod Store systems.
● Investigate and resolve complex discrepancies independently.
● Ensure WrkPod Store transactions, equipment orders, and supplier bills are accurately reflected in Xero.
● Maintain integrity of client ledgers across all sites and service lines. - Reporting, Analysis & Insights:
● Prepare and present monthly AR dashboards, cashflow forecasts, and variance analysis for the CFO.
● Conduct monthly full-client account audits, identifying trends, risks, and improvement opportunities.
● Provide insights to support pricing, contract terms, and retention strategies.
● Support ELT-ready reporting with accurate, timely financial data. - Process Improvement & Systems Ownership:
● Identify, design, and implement process improvements to strengthen controls, reduce errors, and improve efficiency.
● Act as a key finance user for Xero and Stripe, supporting configuration
improvements as the business scales.
● Develop and maintain standard operating procedures (SOPs) for AR, billing, and reconciliations. - Stakeholder Management & Escalation:
● Serve as the senior point of contact for complex client billing and payment issues.
● Partner with Sales, Operations, HR, and Customer Service to resolve escalated account matters.
● Liaise with external parties including auditors, banks, vendors, and regulators as required. - Team Support & Capability Building:
● Provide guidance, quality checks, and informal coaching to Finance Associates.
● Support onboarding and training of new finance team members.
● Act as a dependable delegate for the Finance Manager during absences. - General Finance Support:
● Assist with month-end close, audit preparation, and compliance requirements.
● Undertake ad hoc analytical or project work as directed by the CFO.
