We are seeking a highly organized, proactive, and resourceful Senior Executive Assistant to support the CEO and help improve the efficiency of the entire team. The ideal candidate will have excellent communication skills, experience in managing multiple tasks, and the ability to think strategically while executing operational duties. Experience in team management and sales would be highly desirable but not essential.

Job Qualifications/Requirements
- Experience in managing remote teams and ensuring their performance and productivity would be an advantage.
- Prior experience in sales, particularly high-ticket items or services, and the ability to sell additional Filipino-based personnel to existing clients would be beneficial.
- Excellent written and verbal communication skills, ideally with a minimal accent for ease of communication with Australian clients and team members.
- Strong organizational and multitasking abilities with experience in supporting high-level executives.
- Familiarity with administrative tools and platforms (such as email, calendar, etc).
- Tech-savvy, with the ability to learn and adapt to new technologies quickly.
- Ability to make independent decisions and proactively handle tasks with minimal oversight.
Job Responsibilities
- Manage the CEO’s schedule, ensuring efficient time management and prioritization of key tasks.
- Screen and respond to emails and calls on behalf of the CEO, delegating tasks to other team members as appropriate.
- Prepare meeting agendas, take notes during meetings, track action items, and follow up with team members to ensure task completion.
- Maintain accountability for high-priority projects involving the CEO.
- Act as a primary point of contact between the CEO, the Philippines team, and the Australia-based team, facilitating clear communication.
- Handle correspondence, emails, and calls professionally, aligning with the CEO’s priorities.
- Communicate confidently with Australian-based clients and team members.
- Organize and prepare reports, presentations, and necessary documents.
- Create invoices, manage basic accounts payable and receivable, and assist with document management.
- Implement and maintain organizational systems to enhance business operations and productivity.
- Assist with HR tasks, including recruitment, onboarding, and supporting new team members.
- Collaborate with the CEO to manage staff performance, morale, and development.
- Protect the CEO’s time by managing the calendar, scheduling meetings, and addressing non-essential tasks.
- Proactively handle low-priority matters and make independent decisions regarding what requires the CEO’s attention.
- Keep the CEO focused on high-level priorities and business goals, acting as a gatekeeper to minimize distractions.
