Job Description
The Property Administrator is a key member of the Handler Property team, delivering exceptional service and efficient administrative support. This role includes providing financial and accounting assistance, directly supporting our Property Managers in managing our Retail and Industrial property portfolio.
The ideal candidate will prioritize customer service and possess strong financial skills in both Accounts Payable and Accounts Receivable. This position demands advanced proficiency in computer software, particularly Excel, along with meticulous attention to detail and excellent communication and interpersonal abilities.
In addition to administrative and financial responsibilities, you will gain exposure to property management tasks, working under the guidance of our Property Managers and Asset Managers.

Job Qualifications/Requirements
- Tertiary qualifications in Business or Finance are desirable.
- Strong ability to empathize with tenant and retailer needs, demonstrating a commitment to exceptional customer service.
- Familiarity with the Australian commercial real estate sector is advantageous.
- Excellent verbal and written communication skills, capable of engaging effectively with individuals at all organizational levels.
- Advanced skills in Microsoft Office Suite, particularly Excel.
- Familiarity with property management software, such as Cirrus 8, is essential.
- Prior experience with property accounting software is beneficial.
- Strong understanding of financial processes, specifically in Accounts Payable and Accounts Receivable.
- High level of accuracy and meticulous attention to detail in all tasks.
- Strong interpersonal skills to build and maintain relationships with clients and team members.
- Ability to manage multiple tasks and adapt to changing priorities in a fast-paced environment.
- Willingness to work collaboratively with Property Managers and Asset Managers, taking direction and guidance as needed.
Job Responsibilities
- Provide comprehensive administrative assistance to the Property Management team, ensuring smooth operations.
- Manage Accounts Payable and Accounts Receivable processes, including invoicing and payment tracking.
- Prepare and issue monthly invoices to tenants, utilizing property management software for accuracy and efficiency.
- Monitor outstanding debts and actively work to reduce amounts overdue by more than 30 days.
- Assist with lease administration, including public liability insurance and debtor management.
- Generate financial reports and prepare calculations for fixed, CPI, and lease events for Property Managers on a monthly basis.
- Liaise with Property Managers to facilitate invoice payments, reconciliations, and rent reviews.
- Ensure data accuracy and compliance with governance procedures and process flows.
- Organize and maintain property documentation, ensuring timely updates and adherence to filing standards.
- Act as the primary point of contact for clients regarding invoicing and payment inquiries, resolving issues promptly.
- Collaborate with the Property and Asset Management Team to assist in preparing annual property and capital works budgets.
- Collect and disseminate relevant information for monthly reports across all sites, ensuring clarity and completeness.
- Ensure adherence to client purchasing policies and site budgets, including raising purchase orders as required.
- Build strong working relationships with internal teams to meet client needs and enhance service delivery.
- Gain exposure to property management tasks under the direction of Property Managers and Asset Managers, contributing to broader team goals.
