Job Qualifications/Requirements
  • Proven experience in project management and office administration roles.
  • 8+ years of leadership experience and a minimum of 3+ years of project management experience required.
  • Strong organizational and leadership skills.
  • Excellent written and verbal communication skills.
  • Mastery of the English language.
  • Highly proficient in project management software – Asana expertise is mandatory. Other tools include but are not limited to Google Apps, Slack, Jira, and Asana.
  • Knowledge of budgeting and resource allocation procedures.
  • Ability to work effectively both independently and as part of a team.
  • Ability to handle multiple projects and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Strong decision-making ability.
  • Flexibility and adaptability to changing work environments.
  • Professionalism and confidentiality.
  • Certification in project management (e.g., PMP) is a plus.
Job Responsibilities
  • Manage the full lifecycle of projects from initiation to delivery, ensuring they are completed on time, within scope, and within budget.
  • Collaborate with senior management and stakeholders to define the project scope, goals, and deliverables that support business goals.
  • Develop full-scale project plans and associated communication documents.
  • Effectively communicate project expectations to team members and stakeholders promptly and clearly.
  • Liaise with project stakeholders on an ongoing basis.
  • Set and continually manage project expectations with team members and other stakeholders.
  • Effectively lead internal meetings (e.g., status meetings, job kick-offs, internal reviews, training, etc.), making relevant contributions and generating workable conclusions.
  • Update internal status sheets and GANTTs regularly to ensure teams are well informed of deliverables.
  • Monitor and edit existing projects and workflows.
  • Work with managers to identify resources and assign individual responsibilities.
  • Anticipate project blockers and collaborate with the team to find solutions.
  • Ensure all deliverables meet the highest quality standards and align with business objectives and brand guidelines.
  • Allocate resources effectively to maximize productivity and meet project deadlines.
  • Identify potential project risks and develop mitigation strategies to address them proactively.
  • Prepare and present project status reports, including key performance indicators (KPIs), to stakeholders.
  • Stay up-to-date with industry trends and best practices to continuously improve project management processes and methodologies.
  • Oversee daily operations of the office, ensuring smooth functioning and adherence to policies and procedures.
  • Supervise staff and allocate responsibilities to ensure maximum performance.
  • Maintain a safe and secure working environment.
  • Provide administrative support to senior management as required.
  • Assist in the preparation of regularly scheduled reports.
