Job Description

The Personal Assistant plays a vital role in optimizing the CEO’s time and energy by providing essential administrative support and managing daily responsibilities. In this role, you will enhance the CEO’s efficiency and contribute to the overall effectiveness of both the executive and the business.

Job Qualifications/Requirements
  • Must possess Excellent English communication skills both Verbal & Written.
  • Fresh graduates are welcome to apply.
  • Not required but it would be desirable if you have at least 3-6 months work-related experience.
  • Virtual Assistant experience is a plus.
  • Good Time Management skills
  • Able to take the initiative.
  • Fast learner
Job Responsibilities
  • Learn the Axiapac Lean ERP system
  • Manage the CEO’s To Do List
  • Schedule and Approve recurring Tasks
  • Check and Approve Staff Timesheets
  • Email Management (Filtering Emails/ Managing Spam)
  • Database Management (CRM Management/ Updating contacts)
  • Answering Customer Service Emails/ Enquiries
  • Calendar Management (Sending Meeting reminders to client and CEO)
  • Appointment Setting
  • Reminder Services
  • Management of Microsoft One Drive / Teams / SharePoint
  • Data Entry in Microsoft Office/ Open Office/ Google Docs
  • Creating/ Managing Spreadsheet/ Excel
  • Preparing PowerPoint/ Keynote Presentations
  • PDF Conversion, Splitting/Merging
  • Documentation of internal processes and procedures (One Drive & Axiapac)
  • Flowcharts for processes and systems
  • Video and Audio Transcription
  • Simple eBook Layout or Formatting (Basic/Using templates)
  • Report Creation
  • Online Research
  • Data Mining/ Lead Generation
  • Blog Publishing (uploading content only)
  • Personal Errands (purchasing gifts online, etc)
  • Project Management & Training Tasks
  • Preparation of Training Materials
  • Posting and scheduling Facebook insights/ Social Media Updates
  • Enhance and Manage the CEO LinkedIn and Company Profile
  • Editing/ Proofreading Emails
  • Basic graphic design
  • Basic Photoshop/ Cropping, adjusting image size, adjusting brightness, contrast (no advanced photo manipulation)
  • Proofreading, collating and help with researching material for business book being written by the CEO
  • Perform other administrative duties as assigned by the CEO.
