Job Description
The Order Processing & Customer Service Coordinator is responsible for receiving, checking, entering and progressing customer orders accurately through company’s systems.
This is not a passive data-entry role.
The successful candidate must be a confident communicator who is comfortable speaking with Australian customers and internal team members. They must be willing to ask questions, follow up missing information, clarify instructions and raise issues before they become production problems.
The person must combine strong order-processing accuracy with excellent English communication and customer service.

Job Qualifications/Requirements
- Essential:
• Excellent spoken and written English.
• Strong communication and customer service confidence.
• Previous experience dealing directly with Australian, New Zealand, UK or similar Western customers.
• Previous experience in order processing, sales administration, customer service or account support.
• Strong attention to detail.
• Confidence working with pricing, quotations and purchase orders.
• Ability to manage multiple orders and competing priorities.
• Willingness to make outbound calls and follow up information.
• Ability to identify errors rather than simply process what has been provided.
• Reliable, organised and accountable.
• Comfortable working in ERP, CRM or order management systems. - Highly Regarded:
• Experience supporting an Australian business.
• Experience in signage, printing, manufacturing or customised products.
• Experience with complex or customised customer orders.
• Experience checking purchase orders against quotations.
• Experience working remotely with an overseas team.
Job Responsibilities
- Receive and review customer orders, purchase orders and instructions.
- Enter orders accurately into company’s ERP system.
- Check pricing, quantities, artwork, delivery details and required dates.
- Confirm customer purchase orders match the quotations.
- Identify missing, incorrect or conflicting information.
- Contact customers or internal staff to clarify order requirements.
- Provide professional and timely updates to Australian customers.
- Follow up outstanding approvals, purchase orders and information.
- Resolve straightforward customer and order issues confidently.
- Escalate more complex issues to the appropriate team member.
- Update order notes, statuses and customer information accurately.
- Support online portal orders and repeat-order processing.
- Work closely with sales, estimating, design, production and finance.
- Follow documented workflows and service standards.
- Ensure orders are complete and production-ready before progressing them.
