Job Description
The Operations Support Team Member supports Bx groups, Regional Leaders, Franchisees and the xecutive team within an allocated region. Regions generally range from 20 – 40 groups depending on maturity, growth phase and launch pipeline.
The role operates across a 5-day week. Regular briefing meetings are held to review priorities, launches, reporting and upcoming deliverables.
All tasks are defined in Asana with clear deadlines and measurable outcomes. The role requires strong time management, accountability and the ability to manage multiple concurrent projects.

Job Responsibilities
- Group Launch Project Management:
● Project manage all new group launches within your assigned region.
● Create and manage launch projects in Asana.
● Ensure all allocated tasks are completed on time.
● Proactively follow up Regional Leaders, Franchisees and team members to ensure deadlines are met.
● Escalate risks early to Franchise Success Partners or Operations leadership. - Group Operations Support:
Manage and maintain operational workflows across all assigned groups, including:
● Guest tracking and conversion flow monitoring within Ontraport.
● Member onboarding compliance and 100-day check processes.
● Monitoring Member xPerience Officer and Team Leader follow-ups.
● Ensuring nurturing processes are adhered to and documented.
● Monitoring xCite bookings and escalation of gaps.
● Ensuring venue compliance and operational standards are maintained All group tracking and compliance processes must be maintained within approved systems and dashboards. - New Member Set-Up & Billing Compliance:
● Ensure all new members are correctly set up in Ontraport on the day they join.
● Confirm billing accuracy and automation sequencing by 5pm local time.
● Monitor payment failures and escalate according to dunning and collections procedures.
● Ensure data accuracy and tagging integrity within the CRM. - Member Helpdesk & Support:
● Manage and respond to member enquiries within 24 hours.
● Action and resolve tickets in the approved helpdesk platform.
● Escalate issues appropriately when required.
● Maintain a high standard of written communication. - Reporting & Data Accuracy:
● Ensure weekly and monthly regional reporting is accurate and submitted on time.
● Monitor KPI dashboards and flag underperformance trends.
● Support Franchisees and Regional Leaders with operational data where required.
● Maintain data hygiene across all systems. - Online Event Operations Support:
Support Bx Online and virtual events, including:
● Zoom host and co-host management
● AV coordination
● Attendance tracking
● Chat moderation
● Breakout room management
● Post-event data uploads and CRM updates - Venue & Infrastructure Management:
● Manage new venue onboarding processes.
● Coordinate venue changes and compliance updates.
● Ensure all documentation and system records are current.
● Liaise with Franchisees and Regional Leaders to maintain venue standards. - SOP & Systems Development:
● Continuously update and improve Standard Operating Procedures.
● Create written and video procedures for new or refined processes.
● Ensure each SOP is linked to the relevant Asana task.
● Contribute to system optimisation initiatives. - Ad Hoc Projects:
● Support franchise rollouts, territory expansions and international launches as required.
● Assist with operational support during high-growth phases.
● Participate in AI and automation improvement initiatives across Bx.
