Operations & Creative Lead

Job Description

We are hiring a high-calibre Virtual Assistant to take ownership of documentation, packaging, and operational coordination for the Better Sales Academy (a global sales training platform) and supporting the CEO of Better Sales Coach, Dean Mannix.

This is not a basic admin role. We need someone who can own outcomes, not just complete tasks—combining document design, systems thinking, and project coordination.

Job Qualifications/Requirements
  • Advanced Adobe InDesign skills (this is critical).
  • Strong document design and formatting capability (clean, professional, consistent).
  • Proven ability to manage projects independently.
  • High attention to detail (non-negotiable given volume of content).
  • Strong written English and communication skills.
  • Tech-comfortable and able to learn new tools quickly.
  • Experience working with training content, LMS platforms, or eLearning (not required but helpful).
  • Exposure to SCORM (not required, but helpful).
  • Experience coordinating creative or production workflows (not required but project management experience and confidence is important).
  • Background supporting senior executives or business owners.
Job Responsibilities
  • Documentation & Design (Primary Focus):
    • Standardise all Better Sales Academy training documents using templates that have been created for creating a consistent brand and style across PDF documents for over 100 training programs.
    • Ensure absolute consistency across 100+ documents (formatting, layout, visual identity).
    • Work primarily in Adobe InDesign (non-negotiable).
  • Training Packaging (SCORM & LMS Readiness):
    • Package training modules into SCORM-compliant formats for LMS deployment using all of the elements that are available but not yet packaged as SCORM compliant.
    • Engage with clients and ensure materials are easy for clients to deploy at scale.
    • Liaise with platforms/tools as needed (no prior SCORM experience required, but must be able to figure it out fast).
  • Project Management & Coordination:
    • Coordinate execution across:
    ⁃ Document improvement and editing.
    ⁃ Video production (with AI editor/producer).
    ⁃ Training deployment timelines.
    ⁃ Manage timelines, deliverables, and accountability.
    ⁃ Proactively identify bottlenecks and solve them.
    ⁃ Act as a central point of coordination across multiple moving projects.
  • Executive Support (Secondary, Ongoing):
    • Diary and calendar management.
    • Travel coordination (flights, accommodation, logistics).
    • Inbox and task management support.
    • General operational assistance as required.
