Job Description
This role owns the numbers and the stock. You are the person who knows what the data means and whether it can be trusted. You build the analysis and scenarios behind buying decisions, watch cash week to week, and notice when a product has stopped selling or a margin has moved. You are also responsible for the data itself being correct across our three systems, and for running the ordering process once a buying decision is made. The work you produce goes directly to the CEO and into board reporting.

Job Qualifications/Requirements
- Cin7 (Core or Omni) at diagnostic depth. Able to look at a figure, recognise it is wrong, and trace it back to the cause — a failed sync, a mapping issue, a costing setting. Operating the system to receipt stock and raise purchase orders is not sufficient.
- Xero and Shopify in daily use.
- Experience in an importing business. Purchase orders, lead times, incoterms, freight forwarders, customs clearance, GST on imports, and what a landed cost is made up of.
- Forecasting and scenario modelling. Able to build a stock and cash model with different demand assumptions and defend the assumptions.
- A track record of analysis that changed a decision — not analysis that only produced a report.
- Practical experience using Claude AI or a similar tool in real work. This is assessed during the process.
- Sound bookkeeping fundamentals and accurate, careful work.
- English strong enough to deal directly with Australian wholesale customers, Chinese suppliers and freight forwarders.
- 5+ years in an operations or finance role in a product business.
Job Responsibilities
- Analysis and decision support
- Build and maintain a rolling cash flow forecast showing what stock the business can afford and when.
- Run what-if scenarios: different demand assumptions, order sizes and timing, and the effect of each on cash and stock cover.
- Produce weekly reporting on sales, stock, margin and cash.
- Produce monthly management reporting and input into the board pack.
- Carry out ad hoc analysis — channel profitability, product-level margin, freight cost per unit, the cost of holding slow stock.
- Form a view on what the analysis shows, put it to the CEO, and be able to back it up.
- Data integrity
- Own the accuracy of data across Shopify, Cin7 and Xero.
- Reconcile Cin7 to Xero and validate that margins are landing correctly.
- When a sync fails or a number looks wrong, diagnose it: identify where it broke, correct the data, and fix or escalate the setting behind it.
- Work within the documented processes that prevent these problems, and raise it when a process stops doing its job.
- Supply chain and stock
- Forecast stock needs from sales history, current stock levels, lead times and planned promotions, and put a clear buying recommendation to the CEO.
- Once the CEO approves, run the order: raise the purchase order, brief the supplier, and manage the freight forwarder through to delivery.
- Keep Cin7 accurate through receipting and the landed cost process.
- Review stock ageing against sales data and raise slow movers early, with a recommendation.
- Finance
- Day-to-day bookkeeping in Xero. Our integrations do most of the processing, so this is a small part of the week.
- Accounts receivable for wholesale customers: invoicing, statements, following up overdue accounts, and raising credit risk early.
- Month-end close, ready for review by 3rd business day.
- Prepare payment runs for CEO approval.
- Process and systems
- Document how things are done, then improve them.
- Remove manual steps that take up time without adding accuracy.
- Use Claude AI in daily work for analysis, drafting and reconciliation, on a company account provided by the business.
