We are seeking a proactive and organized Office Administrator to join our growing team at Music Production for Women. This role is crucial for managing daily administrative tasks, providing support to internal and external stakeholders, and assisting with scheduling and event coordination. The ideal candidate will be highly detail-oriented, able to handle multiple responsibilities in a fast-paced environment, and willing to assist in various aspects of the business.

Job Qualifications/Requirements
  • Proven experience in administrative or office assistant roles.
  • Strong organizational and multitasking abilities to manage various tasks simultaneously.
  • Excellent verbal and written communication skills for correspondence and student support.
  • Competency in office tools, such as email management, calendars, and document handling software.
  • Ability to work independently, prioritize tasks, and maintain productivity in a fast-paced environment.
  • Problem-solving mindset and attention to detail.
  • Experience in providing first-line support for customers or students, ensuring timely and accurate responses to queries.
  • Ability to assist with organizing virtual or in-person events, including managing RSVPs, logistics, and communications.
  • Familiarity with virtual office platforms and the ability to adapt to new software.
  • Basic graphic design (e.g., Canva) and/or video editing abilities.
  • Familiarity with music production or the creative industry (optional).
  • Proficiency in a musical instrument (preferred but not applicable).
Job Responsibilities
  • Manage day-to-day office functions, including scheduling, document management, and internal communications.
  • Assist in preparing and distributing reports, as well as managing routine correspondence.
  • Act as the first point of contact for student and customer inquiries via phone, email, or chat.
  • Provide accurate and timely responses to inquiries, ensuring a positive experience for students.
  • Support enrollment processes and assist in onboarding new students.
  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Provide administrative support to the executive team as needed.
  • Maintain and organize digital filing systems and databases.
  • Coordinate with external vendors, suppliers, and service providers.
  • Ensure smooth functioning of virtual office tools and platforms.
  • Assist in the planning and coordination of virtual and in-person events.
  • Manage event logistics, RSVPs, and follow-up communications.
