We are seeking a highly organized and detail-oriented Marketing and Sales Process Coordinator (VA) to support our commercial real estate agency’s marketing, branding, and sales efforts. This role is pivotal in maintaining company branding consistency, executing marketing strategies for both the agency and clients, and ensuring seamless coordination of leasing, sales, and management campaigns.

The ideal candidate will have real estate marketing experience, be systems-oriented, and possess strong project management skills to keep multiple marketing and sales initiatives aligned.

Job Qualifications/Requirements
  • Real estate marketing experience (preferred in commercial real estate).
  • Proficiency in Canva, Adobe Suite, CRM platforms and email marketing tools.
  • Website management experience (WordPress, Wix, Squarespace) and SEO optimization skills.
  • Expertise in social media marketing, including LinkedIn and property promotion.
  • Exceptional organizational and project management skills, capable of handling multiple campaigns.
  • Strong written and verbal communication skills, ensuring clarity in branding and marketing materials.
  • Data-driven mindset, able to analyze marketing metrics and optimize strategies.
  • Experience in high-end or luxury real estate marketing is a plus.
Job Responsibilities
  • Develop, implement, and manage brand consistency across all marketing materials.
  • Coordinate and execute marketing campaigns for commercial properties, ensuring professional presentation.
  • Design brochures, presentations, and marketing collateral using Canva and other tools.
  • Work closely with the leasing and sales teams to craft high-quality property listings, proposals, and promotional materials.
  • Manage branding and marketing strategies for the company as well as property owners and clients.
  • Plan and execute targeted marketing campaigns across digital, print, and social media.
  • Oversee email marketing campaigns, ensuring engagement with investors, tenants, and property owners.
  • Track and manage lead generation efforts, ensuring timely follow-ups.
  • Conduct market research and competitor analysis to optimize marketing strategies.
  • Develop and maintain a marketing calendar to ensure consistent outreach and promotion.
  • Create, update, and maintain company and property websites using platforms like WordPress, Wix, or Squarespace.
  • Optimize property listings and web content for SEO and lead generation.
  • Develop and manage social media strategies to promote new listings, leasing opportunities, and agency expertise.
  • Plan, schedule, and publish content across LinkedIn, Facebook, Instagram, and other relevant platforms.
  • Monitor engagement and analyze data to improve digital marketing strategies.
  • Coordinate marketing efforts for leasing and sales transactions, ensuring all materials are professional and polished.
  • Support the sales and leasing teams by preparing presentations, client reports, and proposals.
  • Manage CRM systems to track leads, follow-ups, and deal progression.
  • Organize and oversee marketing efforts for property launches, relevant events.
  • Keep multiple marketing and sales projects organized and aligned with business goals.
  • Establish, document, and streamline workflows for marketing and leasing processes.
  • Implement automation tools to improve efficiency and minimize repetitive tasks.
  • Track project progress, identifying potential bottlenecks and ensuring timely execution.
  • Serve as the marketing and branding liaison between internal teams and external stakeholders.
  • Provide regular reports on marketing campaign performance, website analytics, and social media engagement.
  • Conduct market research to support leasing and sales strategies.
