For the office or department to run effectively and efficiently, the administrative assistant provides crucial administrative support. They contribute to the overall effectiveness of the business and help manage daily duties.

Job Qualifications/Requirements
  • Must possess excellent English communication skills both verbal & written.
  • Fresh graduates are welcome to apply.
  • Not required but it would be desirable if you have at least 3-6 months work-related experience.
  • Virtual Assistant experience is essential.
  • Strong organisational and time management skills.
  • Attention to detail and a commitment to creating error-free content.
  • Fast learner with a proactive attitude.
Job Responsibilities
  • Email management (Filtering emails/ managing spam)
  • Database management (CRM Management – Insightly/ Updating contacts)
  • Answering customer service emails/ enquiries
  • Calendar management (Setting appointments & sending meeting reminders to client and CEO)
  • Dropbox / G Suite / Google Drive organization
  • Data entry in Microsoft Office/ Open Office/ Google Docs
  • Creating/ Managing spreadsheet/ E. Excel
  • Preparing Powerpoint/ Keynote presentations
  • PDF conversion, splitting/merging
  • Google Sites (Documentation of internal processes and procedures)
  • Flowcharts for processes and systems
  • Video and audio transcription
  • Simple eBook layout or formatting (Basic/Using templates)
  • Report creation
  • Online research
  • Data mining/ Lead generation
  • Blog publishing (create and upload)
  • Project management & training tasks
  • Preparation of training materials
  • Posting and scheduling Facebook insights/ Social Media Updates (Linkedin, Facebook & Instagram)
  • Editing/ Proofreading emails
  • E-newsletters using Mailchimp
  • Basic graphic design
  • Basic Photoshop/ cropping, adjusting image size, adjusting brightness, contrast (no advanced photo manipulation)
  • Create posts using Canva templates
  • Eye for detail and creative thinking
  • Interest in marketing trends and emerging technologies would be a bonus
  • Help coordinate and promote company events, webinars and promotional activities.
  • Set up ticketing via Humanitix
  • Perform other administrative duties as assigned by supervisors or management.
  • Contact clients for feedback and/or testimonials
  • Foster positive relationships with clients and stakeholders, providing regular updates and addressing inquiries
