Job Responsibilities
- Inbox, Communication & Calendar Management:
● Manage, prioritise, and respond to emails on my behalf with a high level of confidence and professionalism.
● Flag urgent items and follow up with internal teams and clients.
● Schedule Google Meet/Zoom appointments, taking into account travel times and workloads.
● Prepare for upcoming meetings by pulling data, previous correspondence, and relevant documents. - Client Meeting Attendance, Note Taking & Task Execution:
● Attend all client-facing meetings with me (on Google Meets or in-person when virtual attendance is possible).
● Take clear, comprehensive notes — capturing decisions, deliverables, deadlines, and promises.
● Immediately convert meeting notes into actionable tasks & also preparing the Wrike audit after a discovery call.
● Send structured follow-up emails to clients summarising actions, next steps, and timelines.
● Ensure all promised tasks are completed by internal teams on time. - Audit Preparation & Post-Discovery Support:
After each discovery call, the VA will:
● a. Understand Discovery Call Questions
Be familiar with the questions I ask, including:
• Business goals
• Services/products
• Average Value of sale / lead
• Target audience
• Pain points
• Competitors
• Locations
• Website condition
• Existing SEO/Ads performance
• Past agency experience
• What success looks like
• Budget expectations
● b. Prepare Draft Audits
• using wrike, prepare to process the audit into wrike for our team to complete.
● c. Identify Missing Info
• Follow up with clients if additional information is required.
This removes the heavy lifting from my workflow and allows me to focus on strategy and closing the sale. - Liaising Between Me & Digital Managers (DMs):
This is a major part of the role.
• Act as a buffer and coordinator between me and the digital managers.
• Ensure DMs follow through on activities they commit to.
• Track tasks, deadlines, and deliverables across all active clients.
• Provide weekly summaries on client progress, risks, and outstanding items.
• Chase overdue tasks and escalate issues early.
The VA must be assertive yet polite — and able to keep internal teams accountable without friction. - Client-Facing Communication (Excellent English Required):
The VA must have:
• Very strong English spelling, grammar, and comprehension.
• A clear, neutral, easy-to-understand speaking voice.
• Ability to handle a Google Meets call with a client if needed.
• Ability to make occasional phone calls to clients or internal staff.
• Comfort adapting to my communication style — as I speak quickly and move fast.
This requirement is essential to ensure smooth communication and professionalism.
This person needs to be HIGHLY organised- this is a must. - Digital Marketing Knowledge (Basic Level Required):
The VA must understand the fundamentals of:
• SEO (structure, content, backlinks, onsite optimisation)
• Google Ads (campaign types, assets, ad structure, delays)
• Meta Ads (assets required, basic troubleshooting)
• Website platforms (WordPress, Shopify, Squarespace)
• Landing page structure & CTA logic
• Website quality indicators (speed, UX, layout issues)
They do not need to perform technical SEO or campaign optimisations — but they must understand conversations and recognise what needs to be done.
