Job Qualifications/Requirements
- Excellent English communication skills, both verbal and written.
- A university degree, preferably in Finance, Business Administration, or Management.
- 1-2 years of work-related experience in Administrative Jobs.
- Good social media skills are preferred.
- Previous experience as a Virtual Assistant is an advantage.
- Strong time management skills and the ability to take the initiative.
- Quick learner with the ability to adapt to new tasks.
- Experience with Financial Planning CRM (Midwinter) or any CRM software is a bonus.
- Project management skills are a plus.
- Experience with Google Sites, Loom, and LucidChart.
- Basic graphic design and familiarity with Canva.
- Knowledge of email marketing and proofreading.
Job Responsibilities
- Manage and filter emails, handle spam, and respond to customer inquiries.
- Oversee calendar management, including sending meeting reminders to clients and the CEO.
- Set appointments and manage client communications.
- Maintain CRM systems, update contacts, and manage databases.
- Organize files using SharePoint or 1Brain.
- Perform data entry tasks in Microsoft Office, Open Office, or Google Docs.
- Create and manage spreadsheets and prepare presentations using PowerPoint or Keynote.
- Handle PDF conversions, splitting/merging, and documentation of internal processes.
- Manage social media accounts and post updates.
- Perform video and audio transcription.
- Layout or format simple eBooks using templates.
- Publish blog content and conduct online research and data mining.
- Prepare training materials and record them through Loom.
- Assist with project management tasks and generate reports on request.
- Basic graphic design tasks including photo editing and image adjustments.
- Perform various other administrative tasks as assigned by management.
- Manage personal errands and support email marketing efforts, including editing and proofreading emails.
