General Virtual Assistant

Job Description

As the General Virtual Assistant, you will support the General Manager and Operations Manager in day-to-day operations. This role is a blend of customer service, digital marketing, e-commerce, and administrative duties. You will assist with responding to customer queries, managing emails, and supporting social media and email marketing efforts.

We are looking for a junior to mid-level professional who is organized, tech-savvy, creative, and proactive. The ideal candidate should have a strong understanding of e-commerce platforms like Shopify, experience in social media management, and the ability to juggle various tasks efficiently

Job Qualifications/Requirements
  • Shopify, Klaviyo, Canva, Facebook and Instagram Manager, and Microsoft Office (Outlook, Word, Excel).
  • Social media management, graphic design, and e-commerce support, particularly in small business environments.
  • Familiarity with Xero or similar accounting software.
  • Strong communication skills, problem-solving abilities, attention to detail, and flexibility to manage multiple tasks in a fast-paced, informal work environment.
Job Responsibilities
  • Monitor and respond to customer emails promptly. Create templates for frequent inquiries to streamline responses.
  • Assist customers with product information, troubleshooting, returns, and exchanges.
  • Handle communication with customers about order delays, track shipments, and resolve issues with missing or delayed parcels.
  • Monitor and respond to customer reviews on platforms like Google and Judge Me.
  • Process wholesale purchase orders in Shopify and issue corresponding invoices in Xero.
  • Keep detailed records of customer communications and orders to ensure smooth follow-ups and issue resolution.
  • Use Canva to design eye-catching social media posts and stories for Facebook and Instagram. You will create approximately 3 posts or stories per week that reflect BBQARM’s laid-back, outdoor lifestyle.
  • Collaborate with the team to plan and develop a marketing calendar that aligns with product launches, seasonal trends, and business goals.
  • Create and manage email campaigns in Klaviyo, segmenting audiences and tracking campaign performance to ensure high engagement rates.
  • Maintain the customer email database, removing duplicates, inactive emails, and spam to keep the list clean and efficient.
