We are seeking a detail-oriented, multitasking professional to provide comprehensive administrative and customer service support for two pole fitness studios based in Queensland, Australia. This diverse role is perfect for someone who thrives on variety, enjoys keeping operations running smoothly behind the scenes, and is comfortable managing multiple priorities in a fast-paced environment. You will be the operational backbone ensuring seamless studio experiences for members across two locations.

Job Qualifications/Requirements
  • Strong written and verbal English communication skills.
  • Excellent attention to detail and high accuracy in data entry.
  • Comfortable with technology and quick to learn new software (Groovio experience preferred but not required—full training provided).
  • Self-motivated with strong organizational and time management abilities.
  • Experience in customer service, hospitality, fitness, or studio administration preferred.
  • Positive, resilient attitude with ability to handle repetitive tasks and problem-solve independently.
  • Familiarity with spreadsheet management (Google Sheets or Excel).
  • Professional phone manner for follow-up calls and member re-engagement.
Job Responsibilities
  • Customer Service: Handle member inquiries, booking requests, and general communications with a friendly, professional tone.
  • Data Entry: Accurately input and maintain client records, membership details, class registrations, and transaction logs.
  • No-Show Follow-ups: Proactively contact members who miss scheduled classes to re-engage, reschedule, and reduce attrition.
  • Software Management: Use Groovio studio management platform for daily operations including bookings, member tracking, and reporting.
  • Calendar & Event Support: Manage studio schedules, coordinate class timetables, and assist with planning workshops or special events.
  • General Administration: Handle email correspondence, file organization, document preparation, and day-to-day operational tasks.
  • Light Social Media Support: Basic content scheduling, post creation, and community engagement across studio social channels.
  • Spreadsheet Management: Maintain tracking sheets for attendance, payments, studio metrics, and operational reporting.
  • Payment Processing: Monitor failed payments, process membership renewals, follow up on billing issues, and assist with financial reconciliations.
