KN Website Design is seeking a dependable and proactive General Assistant to provide administrative support and help manage our daily digital workflows. We are looking for an “all-around helper” who is comfortable handling online tasks, managing emails, and keeping our files organised.

This role is ideal for a digitally literate individual who enjoys a fast-paced environment with a diverse range of tasks. While the position involves daily repetition and manual data management, you will play a key role in helping our team stay organised and efficient.

Job Qualifications/Requirements
  • Technical Proficiency: Solid experience using Google Workspace, Fluent CRM, Xero, and Hubdoc.
  • AI Literacy: Ability to work effectively with AI agents and prompts (Gemini/ChatGPT) to assist in generating and refining content.
  • Language Skills: Excellent written and verbal English skills, with a sharp eye for quality-checking and editing AI-generated proposals.
  • Analytical Tools: Familiarity with (or a strong willingness to learn) technical reporting tools such as GTmetrix, Mangools, theme detectors, and SEO analysis tools.
  • Soft Skills: High level of flexibility and a proven ability to prioritise shifting tasks. You should be someone who is happy to lend a hand wherever required as new needs arise.
Job Responsibilities
  • Workflow & Data Entry: Managing administrative workflows, including syncing client data/notes from emails to Fluent CRM and executing accurate new client entries in Xero.
  • AI Drafting & Quality Control: Utilizing AI prompts to generate client proposals, then meticulously refining the output for accuracy and brand voice before sending via Breeze doc.
  • Technical Reporting: Generating SEO summaries and performance reports using GTmetrix, Mangools, and hex color pickers.
  • Meeting Operations: Processing video meeting transcripts through Gemini to extract key insights and assign actionable tasks to the team.
  • Project Administration: Managing secure file transfers via WeTransfer and ensuring all invoices are correctly sent to Hubdoc for the bookkeeping team.
  • General Support: Handling routine emails, uploading/downloading documents, and maintaining task lists for the broader team.
