Job Qualifications/Requirements
- Bachelor’s degree in Finance, Accounting, Business Administration, Management, or a related field.
- Minimum 1-2 years of relevant experience in administrative or executive assistant roles. Prior experience in financial planning or as a virtual assistant is preferred.
- Excellent English communication skills, both verbal and written.
- Familiarity with Microsoft Office Suite or Google Workspace is compulsory. Experience with financial planning CRMs (Midwinter preferred). Experience with Tools such as Loom, Scribe, LucidChart, or OneBrain is a plus.
- Strong attention to detail and the ability to follow through on tasks thoroughly.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Active listening skills and a customer-focused mindset.
- Knowledge of managing social media platforms and creating engaging content is a bonus.
- Basic design skills, with experience using Canva for social media and marketing materials, are highly desirable.
- Project management skills are a plus.
- Knowledge of email marketing campaign and proofreading
- Exposure or a basic foundation with course creators and membership platforms (e.g., Kajabi) is a PLUS
Job Responsibilities
- Manage the adviser’s calendar, including scheduling client meetings and appointments.
- Coordinate bookings and ensure timely reminders for all meetings.
- Ensure compliance with industry standards by preparing Fee Disclosure Statements and managing renewal obligations.
- Verify client identification through the 100-point ID check process.
- Respond to client inquiries promptly and professionally.
- Maintain email correspondence, ensuring nothing is overlooked.
- Update CRM systems (preferably Midwinter) with client information and manage the database efficiently.
- Record client file notes, including transcribing AI-generated notes post-meeting.
- Conduct high-quality product research and generate insurance quotes.
- Communicate with insurance providers and manage pre-assessment documentation.
- Assist in preparing forms, including beneficiary nominations, rollover forms, and paraplanning requests.
- Generate client reports as needed.
- Liaise with product providers to follow up on submitted applications, underwriting, and medical processes.
- Manage ongoing client communication post-implementation.
- Handle basic graphic design tasks using Canva for social media content, presentations, and marketing materials.
- Assist in sending newsletters and marketing emails to clients.
- Assist with the creation, scheduling, and management of courses and membership platforms such as Kajabi.
- Prepare training materials and record business processes using tools like Loom, Scribe, Lucidchart, or OneBrain.
