Job Qualifications/Requirements
- Proven Experience: Prior experience as an Executive Assistant, or in a dedicated senior administrative support role is required.
- High Initiative & Proactive Mindset: A self-starter who naturally anticipates needs, solves problems independently, protects the owner’s schedule, and drives daily admin tasks forward.
- Organizational Mastery: Exceptional organizational skills with an uncompromising eye for detail and a natural love for clearing clutter.
- Communication Excellence: Superb written and verbal communication skills with a polished, professional, and clear tone.
- Tech-Savvy: Fully proficient with standard online productivity toolsets (Google Workspace, Microsoft Office, project tracking tools).
- Trustworthy & Discrete: Absolute reliability and high integrity when handling sensitive or confidential business information.
Job Responsibilities
- Core Executive Support:
• Email & Calendar Management: Oversee the owner’s inbox, filter priorities, draft routine responses, and manage scheduling to optimize the owner’s daily productivity.
• Task & To-Do List Tracking: Actively track deadlines, send timely reminders, and manage daily priorities to ensure critical business tasks never slip through the cracks.
• High-Level Follow-ups: Drive the progress of ongoing internal projects and ensure team actions align with the owner’s directives. - Daily Administrative Operations:
• Digital File Organization: Maintain, clean, and structure digital files, receipts, and operational documentation across cloud storage systems (e.g., Google Drive, Dropbox).
• Documentation & Data Entry: Standardize and type up meeting minutes, fill out administrative forms, and maintain tracking spreadsheets.
• Travel & Logistics: Coordinate hassle-free travel arrangements, including flights, accommodation, and itineraries when required.
• General Research: Conduct quick background research, source business suppliers, or compare software and tool pricing to support decision-making.
• Internal Coordination: Assist in organizing internal team touchpoints or company events to foster smooth internal communication.
