Job Description

We are seeking a senior Executive Assistant to play a vital role in supporting the CEO by managing administrative tasks and project coordination to enhance operational efficiency. This position requires exceptional organizational skills, attention to detail, and the ability to think proactively.

The ideal candidate will have 10+ years of experience and a degree in business; an MBA is a plus. The Executive Assistant will draft memos and project briefs, coordinate events, handle administrative documents, and manage the CEO’s calendar. This role is designed to enable the CEO to focus on strategic initiatives while ensuring that all operational details are handled smoothly and efficiently.

Job Qualifications/Requirements
  • Previous experience supporting a busy CEO or high-level executive.
  • College-level business degree preferred; an MBA is a plus.
  • Demonstrated project coordination and writing ability.
  • Familiarity with managing dynamic workloads without close supervision.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) and Microsoft Suite (Outlook, Teams, OneDrive).
  • Strong CRM management skills, including updating and cleaning databases.
  • Proactive mindset with the ability to anticipate needs.
  • Detail-oriented, with a focus on accuracy and efficiency.
  • Adaptability to switch between multiple projects and tasks seamlessly.
  • Strong communication and interpersonal skills.
  • A thirst for learning and personal growth.
  • Ability to thrive in fast-paced, entrepreneurial environments.
  • Energetic and flexible, excited about diverse projects.
  • Willingness to dedicate 4–5 hours weekly to training and professional development.
  • A growth mindset and a commitment to improving processes.
Job Responsibilities
  • Summarize verbal plans into clear, actionable project briefs.
  • Draft internal memos, executive emails, and presentation outlines.
  • Ghostwrite short responses and articles as needed.
  • Liaise with staff, freelancers, and partners to manage and deliver projects.
  • Follow up on tasks to ensure deadlines are met.
  • Streamline processes to improve project efficiency and reduce bottlenecks.
  • Prepare and collate board papers and related documents.
  • Maintain and manage CRM systems, email lists, and contact databases.
  • Oversee client gifting programs and ensure timely delivery.
  • Coordinate client sign-ups and administrative processes.
  • Assist with communications, session plans, and stakeholder follow-ups.
  • Support the preparation of reports, presentations, and onboarding materials.
  • Schedule meetings, prioritize time for key projects, and avoid conflicts.
  • Proactively manage calendar changes to maintain momentum.
  • Confirm and follow up on appointments to ensure alignment with goals.
