We are seeking a highly organised, tech-savvy, and proactive Executive Assistant to support the CEO of IES. This role provides day-to-day administrative support, diary management, email handling, financial administration, and assistance with organising both business and social events.
The ideal candidate will be a fast learner, with exceptional communication skills, strong attention to detail, and the ability to quickly adapt to new tasks, technology, and processes. You will need to manage multiple tasks efficiently in a fast-paced environment. An interest in travelling within the Philippines and to Australia for work, if required, and the ability to hold a valid passport, is desirable.

Job Qualifications/Requirements
- Excellent written and verbal communication skills in English.
- Strong organisational and time management skills with attention to detail.
- Advanced skills in Microsoft Excel (data manipulation, formulas, charts).
- Advanced skills in Microsoft PowerPoint (professional presentations).
- Keen interest in technology, digital tools, and AI applications.
- Ability to handle confidential information with discretion and professionalism.
- Proactive, self-motivated, and a fast learner, with the ability to quickly pick up new systems, software, and processes.
- Friendly and approachable with a collaborative, team-oriented attitude.
- Ability to work independently and manage competing priorities.
- Previous experience in a similar Executive Assistant, Personal Assistant, or Administration role (preferred).
- An interest in travelling within the Philippines and to Australia for work, if required, and holding a valid passport.
Job Responsibilities
- Act as a trusted Executive Assistant to the CEO, providing confidential administrative support.
- Manage and coordinate the CEO’s diary, schedule meetings, and organise appointments.
- Monitor, respond to, and draft emails on behalf of the CEO as required.
- General administrative tasks including document preparation, filing, and online research.
- Prepare reports, presentations, and documents using advanced Excel and PowerPoint skills.
- Assist with basic financial administration such as expense tracking and invoicing support.
- Conduct data analysis and research to support decision-making.
- Organise business and social events, including team events.
- Liaise with internal and external stakeholders in a professional and friendly manner.
- Proactively follow up on outstanding tasks and ensure deadlines are met.
