Job Qualifications/Requirements
- Proven experience as an Executive Assistant or similar role.
- Energetic and proactive personality with the confidence to engage in group discussions and contribute meaningfully.
- Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
- Strong skills in Microsoft Office Suite (Excel, Word, PowerPoint) and other relevant programs or tools.
- Exceptional written and verbal communication skills.
- Demonstrated ability to anticipate needs, plan ahead, and take ownership of tasks.
- Reliable, accountable, and committed to consistent reporting and follow-ups.
- Ability to adapt and thrive in a fast-paced, dynamic environment.
- A strong sense of accountability and ownership of the executive’s tasks and priorities.
- Resourcefulness and the ability to independently tackle challenges.
- Courtesy to check in during travel, events, or other key moments to ensure seamless operations.

Job Responsibilities
- Manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Ensure all pre-work, materials, and logistics are prepared ahead of time for meetings, events, and travel.
- Monitor and prioritize emails and outstanding tasks, drafting responses or documents where appropriate.
- Track and follow up on the executive’s tasks, ensuring deadlines are met and nothing slips through the cracks.
- Proactively remind and assist the executive with action items, scheduling time as needed for completion.
- Take initiative in identifying areas where the executive needs support and act to resolve them.
- Look ahead to ensure the executive’s calendar is workable and anticipate upcoming needs.
- Consistently communicate the status of tasks, projects, and priorities at the start and end of each day.
- Provide regular updates and reports to ensure alignment and progress.
- Collaborate effectively in larger groups by contributing ideas, asking questions, and engaging actively.
- Check in during travel, events, or critical deadlines to ensure all details are on track and provide on-the-go support as needed.
- Utilize various tools and software (e.g., Excel, project management tools, CRM systems) to execute tasks efficiently.
- Adapt quickly to new programs and platforms as required to handle a variety of tasks and projects.
- Maintain regular communication, including notifying the executive of any absences or delays.
- Be a dependable partner by ensuring consistent availability and responsiveness throughout the workday.
