Job Description

Marlins Swim School is dedicated to teaching swimming skills to babies through to older children. With a team of 20 staff members, we pride ourselves on providing a warm, friendly, and professional environment. We are looking for a dynamic Customer Service Representative to join our team and be the first point of contact for our clients, visitors, and employees.

Job Qualifications/Requirements
  • Excellent English communication skills, both verbal and written.
  • Professional appearance and demeanor.
  • Strong organizational and time management abilities.
  • Basic computer skills, including proficiency with Google Docs and Apple Mac.
  • Eagerness to learn and a proactive attitude.
  • Ability to handle sensitive information with discretion.
  • Friendly and welcoming personality.
  • Virtual Assistant experience is a plus.
  • Good time management skills.
  • Ability to take the initiative and be a fast learner.
  • High-level experience in customer service, sales, and receptionist duties.
  • Tech-savvy with creative problem-solving skills.
  • Understanding of the progression of swimming is beneficial.
  • Familiarity with 3CX, iClass Pro, and monday.com is a plus.
Job Responsibilities
  • Answer and direct phone calls using 3CX.
  • Handle phone inquiries, providing information and assistance to customers.
  • Manage customer service emails and inquiries.
  • Follow up with clients, ensuring their needs are met and concerns addressed.
  • Serve as a receptionist, greeting visitors warmly.
  • Assist with scheduling appointments and managing calendars.
  • Organize and manage file storage using Dropbox, G Suite, and Google Drive.
  • Perform data entry tasks in Microsoft Office and Google Docs.
  • Create PowerPoint and Keynote presentations.
  • Convert, split, and merge PDF documents.
  • Document internal processes and procedures using 1Brain.
  • Assist with social media management, including graphic design and content creation.
  • Edit videos using tools like Canva and Premier Pro.
  • Filter and sort incoming emails, manage general inquiries, and update CRM contacts.
  • Provide support to various departments as requested, including online research and project management.
