This role is pivotal in managing the intersection of patient care, clinical consultation, and pharmaceutical fulfillment. As the “voice of the clinic,” you will ensure a seamless experience across our pharmacy, orders, and clinical departments.

Job Qualifications/Requirements
- Experience: Minimum of 2+ years in a clinic administration or medical coordination role.
- Technical Stack: Proficiency in Google Workspace, Ontraport, Halaxy, and Dialpad. While experience in these specific tools is highly desirable, we are willing to train the right candidate.
- AI Proficiency: A strong understanding of how to leverage AI tools to optimize workflows, assist in drafting communications, and improve efficiency.
- The “Happy Clinic” Fit: An exceptionally accommodating, empathetic, and patient-centric communication style.
- Industry Knowledge: Basic understanding of pharmaceutical terminology and Australian healthcare privacy standards (or a willingness to learn rapidly).
- Autonomy: Proven ability to work independently in a virtual environment while managing high-pressure situation.
Job Responsibilities
- Clinical Liaison: Act as the primary bridge between patients and doctors; managing scheduling, intake forms, and pre-consultation inquiries.
- Omnichannel Communication: Manage high-volume inquiries via calls, emails, and live chat (Dialpad), maintaining an accommodating and professional demeanor at all times.
- Pharmacy & Order Oversight: Coordinate with the pharmacy to track prescription status and explain dispensing timelines. Oversee the end-to-end order flow to ensure records are updated and shipping issues are resolved promptly.
- Marketing & Admin Support: Assist with marketing initiatives, specifically drafting engaging emails and newsletters to keep our patient community informed and connected.
- Issue Triage: Efficiently categorize and route complex issues to the appropriate department (Pharma, Orders, or Clinical) to ensure zero lag in patient care.
