Operations & Client Growth Coordinator

Job Description

This is a varied role combining client programme coordination, operational support and marketing activity.

You will help ensure that our programmes are delivered professionally and efficiently while also supporting lead generation and marketing activity to help grow the business.

The role operates broadly on a 50/50 split between programme delivery operations and business growth support.

Job Qualifications/Requirements
  • Experience: At least 2+ years in Client Coordination, Customer Success, or Training/Event Administration.
  • Hybrid Skillset: Comfortable with a 50/50 split between administrative logistics and proactive marketing/lead generation.
  • LinkedIn Savvy: Proven experience managing professional LinkedIn accounts, including prospect interaction and engagement.
  • Communication: Exceptional written English for drafting newsletters, topic planning, and professional emailing.
  • Tech Stack: Proficiency in Google Suite, Microsoft Office, and Canva.
  • Nice-to-Have Tools: Experience with Active Campaign (CRM), Xero (basic finance), Coda, Ghost, or Mentimeter.
  • Mindset: Highly organized with a “solutions-focused” attitude; capable of working directly with a Founder in a fast-paced environment.
Job Responsibilities
  • Client Programme Coordination:
    • Coordinate logistics for leadership programmes, workshops and coaching sessions.
    • Liaise with clients regarding session scheduling, delivery details and delegate management.
    • Send joining instructions and preparation materials to programme participants.
    • Manage delegate lists and programme records.
    • Support preparation of workshop materials and presentation decks.
    • Prepare Mentimeter interaction tools used during sessions.
    • Ensure all programme materials are ready ahead of delivery.
  • Programme Follow-Up:
    • Send post-session resources to participants.
    • Download and share feedback data with clients.
    • Maintain accurate programme documentation and attendance records.
  • Coaching Programme Administration:
    • Send onboarding information to coaching clients.
    • Track coaching sessions and engagement.
    • Encourage clients to book follow-up sessions where appropriate.
  • New Client Onboarding:
    • Prepare and send client agreements.
    • Set up programme schedules and delivery tracking.
    • Coordinate programme logistics with clients.
  • Business Growth & Marketing Support:
    • Conduct LinkedIn lead generation activity.
    • Maintain prospect tracking records.
    • Write and schedule social media posts.
    • Draft newsletters and email communications.
    • Monitor marketing engagement and campaign performance.
  • Finance Administration:
    • Maintain records of client agreements.
    • Monitor invoice payments and flag overdue invoices.
