Job Title

Client Relationship & Quote Lifecycle Owner

- Day Shift
Job Qualifications/Requirements
- Experience: 2+ years in account management, customer success, order coordination, or production/traffic management (experience working with Australian or international offshore accounts is strongly preferred).
- Communication: Exceptional written and verbal English skills, capable of communicating with empathy, warmth, and professional assertiveness.
- Pipeline Management: Strong organizational ability to track multiple quotes and active jobs concurrently without dropping details.
- Tools: Proficiency in CRM platforms, project management tools (e.g., ClickUp, Monday.com, Asana), and Google Workspace / Microsoft 365.
- Mindset: High ownership and proactive problem-solving; someone who takes initiative to keep projects advancing.
Job Responsibilities
- Client Relationship & Momentum
- Act as the dedicated primary point of contact for clients once an enquiry is established.
- Drive proactive updates—keep clients informed on timelines, milestones, and ETAs before they have to ask.
- Set and manage clear expectations around approvals, scope changes, and project delivery dates.
- Re-engage quiet or unresponsive clients to keep stalled quotes, proofs, and decisions moving forward.
- Quote & Job Lifecycle Ownership
- Own the full operational pipeline from quote creation to formal client approval and conversion into an active job.
- Coordinate cross-functionally with internal teams (Mockups/Artwork, Purchasing, and Suppliers) to ensure specs, physical stock availability, pricing, and deadlines stay aligned.
- Identify workflow bottlenecks early and troubleshoot delays before they impact delivery.
- Approvals & Production Coordination
- Issue artwork proofs, mockups, and samples directly to clients for formal review.
- Diligently follow up on outstanding proof approvals, sample feedback, and target completion dates.
- Hand off approved files and sign-offs immediately to the purchasing and production teams to initiate manufacturing.
- Commercial Flow (Light Touch)
- Trigger invoice generation upon agreed project milestones or job completion (handling direct creation only for simple or repeat orders).
- Follow up on pending payment statuses to prevent production or dispatch delays.
- Flag billing roadblocks and commercial issues early to management rather than processing complex accounting tasks.
- Admin Continuity & Job Tracking
- Maintain rigorous job context, clear notes, and updated task tracking records (TRs) across all systems.
- Ensure team continuity so colleagues can step into any file with zero context loss.
- Guard against silent drop-offs—ensure no job or quote “dies quietly.”
Good luck and God Bless!
