Home By MM is seeking an organized, proactive, and personable Architectural Admin Assistant to be the backbone of our daily operations. This role balances high-level administrative support, digital marketing, and specialized architectural research. It is designed for a “systems-first” individual who thrives in a creative environment and is eager to learn the technical back-end of a high-end design practice, from council zoning to project planning.

Job Qualifications/Requirements
  • Highly Organized: A “systems-first” mindset with a passion for bringing order to busy environments.
  • Tech-Savvy: Proficiency with Microsoft Suite, Dropbox, and social media; experience with Canva or Paymo is a significant plus.
  • Professional Communicator: Excellent written and verbal skills for interacting with VIP clients and consultants.
  • Proactive Learner: A strong desire to undergo training for technical architectural tasks and Victorian-specific property research.
  • Detail-Oriented: Ability to manage complex filing systems and maintain precise project data.
Job Responsibilities
  • Project & Task Management: Oversee tasks in Paymo, maintain priority lists, and manage digital filing across Google Drive and Dropbox.
  • Communication & Customer Service: Manage email flow, respond to social media inquiries (FB/IG), and conduct outbound calls to leads and customers.
  • Marketing & Content Creation: Design social media assets in Canva, manage LinkedIn profiles, and provide SEO/image optimization for the company website.
  • Studio Administration & Finance: Record meeting minutes, manage studio stock/supplies, process new orders, and assist with HR tasks and invoicing.
  • Specialized Architectural Support: Conduct property research using VicPlan, Landata, and Dial Before You Dig; set up technical documentation including Finishes Schedules and Town Planning Reports.
  • Client Engagement: Reach out to clients for reviews and maintain professional relationships with consultants and project stakeholders.
