Job Description

The Administration and Marketing Assistant is responsible for supporting the operations and sales teams, management, and others in generating marketing materials and administrative documents, along with handling bookings and various duties. This role aims to ensure the smooth running of these functions for RMA Sport and its sister company, Southern Cross Sports, if required. Ongoing development of systems, processes, and document templates, including finding improved efficiencies, is important in this role.

Job Qualifications/Requirements
  • Experience with Canva or similar and cloud-based CRM systems
  • Highly efficient with spreadsheet and word processing programs (e.g., MS Excel, Word, Google Forms, Docs)

Job Responsibilities
  • Coordinate project setup and updates in Scoro (CRM)
  • Generate, update, and maintain project folders; file photos, reports, and data
  • Arrange bookings for accommodation, travel, equipment, and materials as required
  • Generate Safe Work Method Statements (SWMS) from templates and lodge with clients
  • Coordinate Request for Information (RFI) and offboarding processes
  • Manage project completions, onboarding, training, database contacts, and assist with audit processes
  • Provide general customer service support, including technical information, parts, and deliveries
  • Report generation
  • Manage the Marketing Calendar and cloud storage folders
  • Assist with sales lead research, assessing tender scope, Room Data Sheet, and Quantity Surveying requests
  • Develop and maintain QR codes and instructions on packaging and documents
  • Gather, share, and file testimonials, photos, references, etc., and post registrations on Courts of the World
  • Generate and update brochures, manuals, videos, and Project Profiles; share to website, cloud storage, and social media as appropriate
  • Assist in generating, scheduling, and posting social media posts, email campaigns, and web blogs
  • Assist with website maintenance, SEO, Backlinks, reviews, etc.
  • Book CPD and sales meetings and coordinate the delivery of required support
  • Assist in developing AI tools and automations
  • Perform additional tasks as required
  • Respect and promote company values at all times
  • Follow and improve company systems at all times
  • Utilize resources such as ELMO at all times
  • Develop manuals on role and processes for ELMO
  • Assist with overflow capacity/away from office requirements of other team members
  • Identify and comply with all State WHS legislation and regulations, including workplace harassment, victimization, bullying, anti-discrimination, vocational education and training, and apprenticeships and traineeships
  • Identify hazards, assess risk, and implement control strategies to minimize risk of injury to people and property
  • Encourage consultation in addressing safety issues
  • Be a positive contributor and advocate for safety information and training when necessary
