Job Qualifications/Requirements
  • Alignment with our Core Values
  • Excellent English communication skills (both verbal and written)
  • Strong computer proficiency, particularly in Microsoft Office
  • Experience with Simpro Job Management Software (a plus)
  • Previous experience as a Virtual Assistant (a plus)
  • Effective time management skills
  • Ability to learn quickly and a proactive attitude
  • Basic graphic design skills (e.g., Canva)
Job Responsibilities
  • Manage email correspondence, filter spam, and handle customer service inquiries
  • Oversee database management, including CRM updates and contact organization
  • Schedule appointments and send reminders to clients and the CEO
  • Maintain organized file storage on SharePoint
  • Perform data entry tasks in Microsoft Office
  • Create and manage spreadsheets and prepare presentations (PowerPoint/Keynote)
  • Handle PDF conversions and create flowcharts for processes
  • Design site maps and organize project data via SharePoint
  • Prepare customized project handover documents using templates
  • Facilitate document approval processes and file storage organization
  • Enter data into job management software and manage SharePoint folders
  • Oversee site asset management
  • Conduct video and audio transcription
  • Format simple eBooks and create reports
  • Perform online research, data mining, and lead generation
  • Assist with blog publishing and personal errands
  • Prepare training materials and assist with project management
  • Schedule and post updates on Facebook and LinkedIn
  • Engage in email marketing, including editing and proofreading
  • Execute basic graphic design tasks
  • Perform simple image editing using Photoshop (cropping, brightness adjustments)
  • Undertake additional tasks as assigned by supervisors or management
