- Strong written and verbal communication abilities.
- Proficiency with Google Workspace (Google Sites, Drive, etc.), Dropbox, and social media platforms.
- Ability to learn new tools and processes quickly.
- Customer service experience is a plus.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
Job Responsibilities
- Create and manage systems in Google Sites.
- Convert systems into 1-page flowcharts after training.
- Collaborate on documenting processes.
- Attend meetings, take minutes, and track follow-ups.
- Assist in organizing company events and parties.
- Prepare travel itineraries for team members.
- Ensure files are correctly labeled in Google Drive and Dropbox.
- Manage incoming and spam emails, and create canned replies.
- Check the company inbox and spam folder regularly.
- Respond to common emails and notify the manager of difficult ones.
- Handle incoming and outgoing phone calls.
- Manage voicemail and Facebook messages.
- Thank reviewers and summarize feedback.
- Assist with customer onboarding and data entry.
- Add and optimize content on the website and social media.
- Test website functionality and report issues.
- Use social media scheduling tools and engage with followers.
- Post job ads, review applicants, and assist in onboarding new team members.
- Set reminders for staff birthdays and performance reviews.
- Review and clean contact lists.
- Update CRM with meeting notes and customer information.
- Create and manage customer lists for marketing campaigns.
- Send weekly lead reports to the manager.
- Identify and discuss automation opportunities.
- Assist in planning and building auto-responders.
- Prioritize tasks with the manager’s assistance.
- Support various ad-hoc tasks to ensure smooth operations.
- Organize gifts or hampers for VIP clients when requested.
