We are seeking a detail-oriented, highly organised and proactive Virtual Assistant to provide administrative and operational support to our growing business. This role will focus on supporting key business functions, improving efficiency, and supporting our HR & Admin Coordinator to ensure smooth day-to-day operations. The ideal candidate is detail-oriented, tech-savvy, and comfortable working independently while maintaining strong communication with the team.

Job Qualifications/Requirements
- Prior experience as a Virtual Assistant or in a similar administrative role.
- Strong communication skills, written and verbal.
- Keen interest or familiarity with technology with proficiency in Microsoft Office (Word, PowerPoint, Excel) and related applications.
- Experience with Canva or similar design tools is a plus.
- Excellent time management and ability to work independently and as part of a team.
- Strong organisation and collaboration skills.
- Familiarity with Australian workplace culture and business operations is advantageous.
- Interest in or desire to further learn about organisational. culture, safety and wellbeing.
Job Responsibilities
- Draft emails/communications, schedule meetings, and coordinate calendars.
- Assist with various administrative tasks to support daily business operations.
- Assist in drafting reports, preparing presentations, and formatting professional documents ensuring consistency and high-quality content.
- Assist in booking meeting rooms, restaurants, accommodation and travel.
- Maintain an organised diary with up-to-date meeting details.
- Check company inboxes and respond to routine requests.
- Write and maintain common email responses for common inquiries.
- Support the coordination of customer feedback and reviews.
Assist with sales inquiries, proposal creation and client onboarding. - Maintain the CRM system by updating customer records and ensuring data accuracy.
- Collaborate with the team on various projects supporting ongoing initiatives, tracking deliverables, and liaise with stakeholders as needed.
- Use a task management tool to organise tasks, set deadlines, and track progress.
- Oversee task lists for Directors and teams.
- Support the updating of website content and blog posts.
- Assist with drafting content for newsletters, LinkedIn, and other platforms.
- Support the team with marketing activities and initiatives where required including but not limited to social media, email campaigns and website updates.
- Maintain organised digital records and ensure efficient document retrieval using cloud-based systems.
- Support the development and maintenance of business systems and processes.
- Assist in documenting and simplifying processes including 1-page flowcharts.
- Support the team to review, understand and implement new technology including AI tools to deliver better and more efficient products and services.
- Be adaptable to take on various virtual tasks that may arise to support business owners, our team, and business needs to enhance productivity and workflow efficiency.
- Stay updated on the latest research and trends in the industry, workplace wellbeing and positive psychology.
- Engage in regular learning from Business Blueprint and SkillBuilder to ensure learnings are transferred to Awareness Co. Systems and processes.
- Contribute to the development and implementation of initiatives promoting team and employee wellbeing.
