Admin Assistant

Job Description

The Admin Assistant provides high-level administrative and operational support to ensure the smooth management of marketing, sales, and data-related processes. This role requires strong attention to detail, excellent organisational skills, and the ability to manage multiple systems and platforms efficiently. The Admin Assistant plays a key role in maintaining accurate records, producing high-quality marketing materials, and supporting internal teams through effective coordination and process improvement.

Job Qualifications/Requirements
  • Strong administrative and organisational skills.
  • High attention to detail and accuracy.
  • Proficiency in Canva, Excel, and cloud-based file systems (e.g., Dropbox).
  • Ability to manage databases and internal systems (HubDB, Flipsnack, Price Finder).
  • Time management skills with the ability to prioritise tasks effectively.
  • Strong communication skills, both written and verbal.
  • Proactive mindset with a focus on process improvement.
Job Responsibilities
  • GENERAL DAY-TO-DAY TASKS:
    1. Attend the daily huddle and submit an end-of-day report.
    2. Maintain and organize the Trello board, ensuring it is accurate and structured.
    3. Create new cards and do snapshots for search property.
    4. Use Price Finder (Client Login), and add data to Excel Spreadsheet.
    5. Update and maintain records in Dropbox.
    6. Access Stash (client login), search for relevant properties, and note down any properties that cannot be located or show a different address from what’s expected.
    7. Provide feedback and suggestions to enhance efficiency and accuracy.
  • INCOMING POSSIBLE PROJECT:
    8. Copy Blank Project Folder.
    9. Rename it to project details.
    10. Create Trello Card in R2JV.
    11. Do the Price Finder Search for the Property Address and Print to PDF and File.
    12. Do Stash Search for the Property Address – Tag to Buyers Agent Tag.
    13. Do the DBYD Searches (Dial Before You Dig).
    14. Store All Email reports into DBYD Folder withing Project.
    15. You will add comment (if necessary) in the Trello Card that all searches are complete, by changing the label colour to Yellow.
