Admin Assistant

Job Description

We are seeking a reliable and detail-oriented Admin Assistant to provide day-to-day support across administrative, business development, and operational tasks. This role is critical in enabling our General Manager (GM) and Business Development Manager (BDM) to focus on core strategic functions while ensuring back-end processes are executed efficiently and accurately.

Job Qualifications/Requirements
  • Strong time management and organizational skills.
  • High attention to detail and accuracy in data entry and document handling.
  • Proactive, self-motivated, and able to work independently.
  • Honest, dependable, and professional in conduct.
  • Strong English communication skills – both verbal and written.
  • Comfortable in a customer-facing or client-interaction role.
  • Experience with tools like Groundplan or similar is an advantage.
Job Responsibilities
  • Manage inbox communications for the GM and BDM, ensuring timely and appropriate responses.
  • Prepare and follow up on quote requests, purchase orders, and invoices.
  • Draft quotes and purchase orders for management review and approval.
  • Support project tasks including maintenance of shop drawing registers.
  • Source and compile potential leads for the BDM based on defined criteria.
  • Create and maintain organized call lists and schedules for the BDM.
  • Maintain accurate records and scheduling in the pipeline management tool.
  • Conduct quantity take-offs using tools such as Groundplan.
  • Create and maintain supplier quote comparison spreadsheets.
  • Ensure all records are accurate, up-to-date, and systematically organized.
