The Virtual Assistant will support the Head of Marketing at Kikada Dental Group in all marketing-related activities and other ad hoc tasks. This role also involves providing assistance to other team members across the organisation, ensuring smooth operations, and handling tasks effectively as they arise.

Job Qualifications/Requirements
  • Proficiency in Excel and Microsoft Office tools.
  • Strong task management and prioritisation skills, with the ability to adapt to shifting demands.
  • Excellent email management and written communication skills.
  • Familiarity with Practice Management Software (Health Engine, Core Practice, HotDoc, etc.).
  • Analytical mindset for monitoring data and identifying trends or issues.
  • Strong organisational and coordination skills to assist in projects and campaigns.
  • Ability to liaise effectively with internal teams and external suppliers.
Job Responsibilities
  • Marketing and General Support:
    Assist the Head of Marketing with various marketing initiatives and related tasks.
    Provide support to team members across departments for any marketing or ad hoc needs.
  • Supplier Coordination:
    Liaise with external suppliers, including Google Ads consultants, graphic designers, website developers, printers, and other relevant parties.
  • Task Management and Prioritisation:
    Manage daily ad hoc tasks with a high level of prioritisation.
    Adapt to dynamic workflows and reassign priorities based on immediate requests from superiors or team members.
  • Email Management:
    Monitor assigned email inboxes daily for incoming enquiries, task-related correspondence, and coordination.
    Respond to or resolve queries and escalate issues as needed.
  • Escalation Handling:
    Address enquiries and provide support across various communication channels.
    Identify when to escalate concerns and seek assistance from superiors to resolve challenging issues.
  • Meeting and Note-Taking:
    Attend meetings and calls to take detailed notes of key discussion points.
    Use meeting notes to ensure tasks are executed efficiently and accurately.
  • Practice Management Software Support:
    Use and navigate systems like Health Engine, Core Practice, and HotDoc to update practitioner profiles and schedules.
    Resolve technical issues by escalating them to support teams as necessary.
  • Content Proofreading:
    Build newsletters and proofread content for accuracy and quality.
  • Data and Analytics Tracking:
    Monitor Google Ads performance weekly, identifying potential errors or areas of concern.
    Update databases, spreadsheets, and inventory lists regularly.
  • Project Coordination:
    Assist in coordinating marketing campaigns and projects to ensure smooth execution.
    Provide organisational support to the Head of Marketing and perform administrative tasks to streamline marketing efforts.
