Virtual Assistant

Job Description

We are looking for a highly organised, detail-oriented Virtual Assistant to support the operations of TriChicks, a women’s triathlon coaching business. The VA will play an essential role in athlete support, admin, content management, and business operations. This role requires someone proactive, trustworthy, and able to follow clear systems and processes while maintaining professionalism when dealing with athletes and community members.

Job Qualifications/Requirements
  • Must possess Excellent English communication skills both Verbal & Written.
  • At least 2 years virtual assistant experience required.
  • Strong attention to detail, accuracy, and confidentiality.
  • Tech-savvy with the ability to quickly learn and use platforms including Kajabi, Monday.com, Final Surge, Canva, Vimeo, and Stripe (plus if you have experience in these, otherwise training provided).
  • Ability to follow SOPs and checklists correctly.
  • Proactive communication skills – asks questions when unclear and provides regular updates.
  • Fast learner
  • Able to take initiative
  • Comfortable working within a female-focused coaching community.
  • This role will be carried out on a Mac computer provided by TriChicks, so you’ll need to be comfortable using Mac OS.
Job Responsibilities
  • Athlete Support & Administration:
    ● Manage athlete onboarding/offboarding and maintain athlete database.
    ● Set up and apply training programs to athlete accounts.
    ● Provide client support, including following up on race plans, results, and time trials, and responding to general enquiries.
    ● Manage Stripe subscriptions, payments, and related admin.
    ●Monitor and organise the Head Coach inbox, ensuring clear communication boundaries.
    ●Provide general admin and personal support to the Head Coach (research tasks, errands, scheduling).
    ● Assist in creating and refining business systems.
  • Content & Marketing Support:
    ● Upload and manage content in Kajabi and other platforms.
    ● Schedule/post content and events in the private community.
    ● Support email marketing campaigns (sequences, newsletters, discount codes).
    ● Upload and format blogs, respond to community FAQs, and support partnerships (promo materials, codes, masterclass coordination).
  • Visuals & Design:
    ● Create presentations and marketing assets in Canva (templates & systems provided).
    ● Edit/upload videos to hosting platforms.
    ● Provide basic graphic design support for social media and course materials.
    ●Perform light photo editing (crop, resize, adjust brightness/contrast).
  • Other Duties:
    ● Provide transcription (video/audio).
    ● Complete other administrative tasks as assigned by management.
