Job Description
We are seeking a highly organized and proactive Virtual Assistant (Admin, Marketing & CRM Support) to join our team. This role will primarily focus on providing administrative, marketing, and CRM support to help streamline daily operations, improve customer communication, and maintain our online presence.
The ideal candidate will have a background in marketing, with hands-on experience in CRM systems, social media management, and content creation using Canva. Training will be provided for other admin-related tasks, including data entry and bookkeeping support through Xero.

Job Qualifications/Requirements
- Experience in marketing, social media, or administrative support.
- Familiarity with CRM systems (e.g., GoHighLevel, HubSpot, etc.).
- Basic knowledge of Canva and social media scheduling tools.
- Understanding of Xero or willingness to be trained.
- Excellent written and verbal communication skills.
- Strong attention to detail and organization.
- Ability to work independently and manage time effectively.
- Proactive attitude and willingness to learn new tools.
- Reliable and consistent in delivering tasks on time.
Job Responsibilities
- Admin & Operations:
● Enter invoices, bills, and receipts into Xero.
● Track job sheets, quotes, and payments.
● Schedule service bookings and confirm with customers.
● Build and maintain a customer database (CRM + GHL).
● Flag overdue invoices or unpaid job. - Marketing Support:
● Repurpose content into: Facebook, Instagram, LinkedIn posts.
● Use Canva to design branded graphics, templates, and visuals.
● Assist with short ads/scripts for Gemini.
● Post on GHL schedule, track engagement, and report weekly stats.
● Maintain a GHL content calendar aligned with Sweens’ services. - CRM & Automation (GHL):
● Manage customer pipeline in GoHighLevel (GHL).
● Automate follow-ups, reminders, and simple email/text campaigns.
● Report on leads, conversions, and customer engagement inside GHL.
● Build landing pages as per requirements. - Research & Sourcing:
● Look up suppliers, product specs, and pricing for electrical components.
● Research local marinas, caravan groups, and trade shows for opportunities. - SOP & Systems Support:
● Help draft step-by-step SOPs for repeatable admin tasks.
● Assist with automation ideas (Xero, GHL, email remind.
● Keep documentation updated (Google Docs/Word).
