Site Administration Officer

Job Description

The Site Administration Officer is responsible for overseeing the daily operations of the WrkPod Dumaguete facility. This includes managing facility operations, ensuring a productive and compliant workplace, and monitoring the performance and productivity of direct service Virtual Assistants & Professionals (VA-Ps) and WrkPod’s own staff delivering managed concierge services.

The role ensures seamless coordination between operational, administrative, and client-service functions.

Job Qualifications/Requirements
  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • Minimum 3 years of experience in administrative or operational roles, preferably in a BPO or facilities management environment.
  • Experience supervising teams and managing service delivery to contractual agreements.
  • Leadership: Strong ability to lead and motivate teams.
  • Organisational Skills: Excellent at managing multiple tasks and priorities.
  • Problem-Solving: Proactive in identifying and resolving challenges effectively.
  • Communication: Outstanding verbal and written communication skills.
  • Client Focus: Strong commitment to meeting and exceeding client expectations.
  • Technical Proficiency: Familiarity with office management systems, productivity tools, and reporting software.
Job Responsibilities
  • Site Facility Operations:
    ● Ensure the site is well-maintained, safe, and compliant with health and safety regulations.
    ● Coordinate repairs, maintenance, and upgrades in collaboration with the Facilities Supervisor.
    ● Coordinate activities between various contractors and subcontractors.
    ● Develop project plans and schedules.
    ● Ensure that project milestones are met.
    ● Manage labor, materials, and equipment on site.
    ● Manage site-specific budgets for facility-related expenses.
    ● Monitor construction processes to ensure quality standards are met.
    ● Conduct regular inspections to ensure compliance with specifications and regulations.
    ● Track expenses and report on financial performance.
    ● Identify cost-saving opportunities without compromising quality.
    ● Serve as the main point of contact for clients, contractors, management, and stakeholders.
  • Staff Oversight:
    ● Monitor the productivity and performance of direct service VA-Ps and WrkPod staff in close association with the HR Manager, Training Manager & Concierge Lead and Concierge Services Manager.
    ● Provide guidance, support, and resources to help team members meet their KPIs.
    ● Implement strategies to foster a positive, collaborative, and high-performing work environment.
  • Operational Management:
    ● Ensure daily site operations align with WrkPod’s organisational goals and client service commitments.
    ● Address operational challenges promptly and escalate issues to the Operations Manager when necessary.
  • Client Service Support:
    ● Assist the Concierge Services Manager with client queries and concerns related to site operations.
    ● Collaborate with the HR and the Concierge Services Department to ensure seamless delivery of concierge services.
    ● Implement feedback from clients to improve service delivery and site efficiency.
  •  Compliance & Reporting:
    ● Maintain accurate records related to site operations, staff attendance, and performance.
    ● Ensure compliance with WrkPod policies and applicable regulations.
    ● Prepare regular reports for the Operations Manager and Concierge Services Manager on site performance, staff productivity, and operational challenges.
  • Team Coordination & Training:
    ● Assist the HR and Concierge Services Department with onboarding and training programs for new staff.
    ● Conduct regular team meetings to communicate organisational updates and address concerns.
    ● Identify skill gaps and recommend development initiatives to the HR and Concierge Services Departments to enhance team performance.
  • Emergency & Contingency Management:
    ● Oversee the implementation of emergency response and safety protocols at the site.
    ● Conduct regular safety inspections and training sessions.
    ● Address any safety issues or incidents promptly.
    ● Coordinate contingency plans to ensure minimal disruption to operations during emergencies.
