Sales Support Specialist

Job Description

As a Sales Support Specialist at Reward Homes, you will be the first point of meaningful contact for many of our prospective customers. Your role is to build rapport, understand client needs, conduct structured prequalification conversations, and ensure each lead is directed to the correct next step — whether that is a Sales Team, Mortgage Broker, or further nurturing.

You will also play a vital role behind the scenes by supporting sales administration, maintaining accurate records, assisting with marketing communications, and ensuring land and package information remains current across our systems.

This role requires excellent communication skills, strong verbal and written communication skills, strong attention to detail, confidence on the phone, and the ability to follow structured processes while still providing a warm, professional customer experience.

Job Qualifications/Requirements
  • Strong spoken and written English.
  • Confident, professional phone manner.
  • Previous experience in:
    • Sales support
    • Lead qualification
    • Call-based customer engagement
  • High attention to detail and accuracy.
  • Ability to follow structured processes and scripts.
  • Strong organisational and time management skills.
  • Comfortable working with CRM systems.
  • Desirable:
    ● Experience in real estate, residential construction, or mortgage broking support.
    ● Understanding of sales pipelines and qualification frameworks.
    ● EDM or email marketing experience using templates.
    ● Experience supporting Australian-based businesses.
Job Responsibilities
  • Lead Follow-Up & Prequalification (Primary Responsibility):
    • Contact all new inbound leads via phone, email, and SMS within required response timeframe.
    • Conduct structured prequalification calls to understand:
    ⁃ Buyer type (First Home Buyer, Investor, Owner Occupied, Downsizer, Knockdown Rebuild).
    ⁃ Preferred locations and land status.
    ⁃ Budget expectations and readiness.
    ⁃ Finance position and timeframes / Have they spoken with a Mortgage Broker.
    • Accurately capture and record all information in the CRM.
    • Identify lead readiness and quality based on Reward Homes’ qualification criteria
    • Book qualified leads into: ○ Sales Team appointments ○ Mortgage Broker. appointments (where applicable).
    • Ensure all bookings are confirmed and properly documented.
  • Reactivation of Past & Cold Leads:
    • Review historical leads within the CRM.
    • Proactively contact cold, inactive, or dormant leads.
    • Re-engage prospects through phone calls and follow-up communications.
    • Reassess needs, circumstances, and readiness.
    • Move leads from cold to warm/hot where possible.
    • Book qualified reactivated leads into Sales or Finance appointments.
    • Update CRM stages and notes accurately.
  • Sales Administration & Pipeline Support:
    • Monitor new Sales Advices as they enter the business.
    • Assist in tracking progress through early sales stages.
    • Ensure all required documentation has been received.
    • Set up and maintain digital sales folders.
    • Save, label, and mark off documents against internal checklists.
    • Follow up internally or externally for missing information.
    • Support Sales Consultants by keeping files organised and up to date.
  • EDM Creation & Weekly Campaign Support:
    • Create two weekly EDMs using established templates:
    ⁃ 1 x B2C (customer-focused).
    ⁃ 1 x B2B (builder partners, land agents, referrers).
    • Highlight:
    ⁃ New house & land packages.
    ⁃ Priority or promotional packages.
    ⁃ Time-sensitive opportunities.
    • Coordinate with the Sales or Marketing Manager on weekly focus.
    • Ensure accuracy of pricing, locations, and inclusions before sending.
  • Land Agent Liaison & Stock Management:
    ● Maintain weekly contact with land agents and developers.
    ● Request and confirm:
    ⁃ Land availability
    ⁃ Pricing updates
    ⁃ Registration timelines
    ● Update land availability and package details in:
    ⁃ Online stock / package platforms
    ● Flag changes or urgent opportunities to Sales Management.
    ● Ensure outdated or unavailable listings are removed promptly.
