Job Description

We are seeking a detail-oriented and proactive Real Estate VA to provide administrative, sales, and marketing support to our real estate team. This role is responsible for managing daily operations, maintaining CRM and sales pipelines, coordinating property listings and inspections, and supporting client communication. The ideal candidate has real estate experience, strong organizational skills, and the ability to work independently in a fast-paced environment.

Job Qualifications/Requirements
  • Experience: Proven experience as a Virtual Assistant, preferably within the Real Estate industry.
  • Technical Skills: Proficiency in CRM software, Microsoft Office/Google Workspace, and basic design tools like Canva.
  • Communication: Exceptional written and verbal communication skills for client and lead interaction.
  • Organization: Strong multitasking abilities with a high level of attention to detail and “ad hoc” problem-solving skills.
Job Responsibilities
  • General Administration & Executive Support:
    • Executive Assistance: Provide high-level support to executives, including calendar management and administrative coordination.
    • Daily Operations: Manage email correspondence, prepare professional documents, and perform general administrative tasks to keep the business running smoothly.
    • Event Support: Assist in the planning and coordination of both client-facing and internal team events. Uploading, auditing and assisting with account management.
    • Account Management: Uploading, auditing and assisting with account management.
  • Lead Management & Sales Support:
    • Business Generation: Conduct prospecting and telemarketing activities to identify and generate new business opportunities.
    • Pipeline Management: Oversee sales and leasing pipelines, ensuring all leads are tracked accurately with timely follow-ups.
    • Market Analysis: Generate Comparative Market Analyses (CMAs) and client reports to support pricing and strategy.
    • Listing Coordination: Manage and update property listings across various online sales platforms.
  • Client & Property Management:
    • Operational Coordination: Schedule property inspections and coordinate necessary maintenance or repairs with vendors.
    • Onboarding: Facilitate smooth client onboarding and offboarding processes.
    • Documentation: Assist with the administration of rental applications and ensure all compliance documentation is accurate and filed.
  • CRM & Relationship Management:
    • Database Integrity: Maintain and regularly update the CRM to ensure client records remain accurate and “clean.”
    • Post-Sales Engagement: Manage client reviews, testimonials, and post-sale touchpoints, including arranging closing gifts and follow-up communications.
  • Basic Graphic Design & Marketing:
    • Visual Assets: Create basic marketing materials and social media graphics using Canva or similar user-friendly design tools.
    • Content Scheduling: Manage and schedule post updates across social media platforms.
    • Collateral Prep: Prepare standard listing presentations and basic property marketing templates.
