Project Administrator

Job Description

The Project Administrator plays a vital role in ensuring all project administration is accurate, timely, and well-organised. This position is key to keeping projects on track, compliant, and smoothly handed over to internal teams.

You will be responsible for preparing and maintaining project documentation, coordinating approvals, managing compliance records, and supporting communication between consultants, contractors, and internal stakeholders.

Job Qualifications/Requirements
  • Previous experience in an administrative role (project or construction admin preferred).
  • Knowledge of Australian building, development, or property renovation processes is desirable.
  • Qualifications in business administration, project management, or construction support desirable but not essential.
  • Strong organisational and time management skills.
  • Proficient in Microsoft Office / Google Workspace (Excel/Sheets, Word/Docs, etc.).
  • Experience with project management software or willingness to learn (e.g. Monday.com, Smartsheet, Buildertrend).
  • Excellent written and verbal communication (English).
Job Responsibilities
  • Preparing and maintaining project documentation, registers, and compliance records.
  • Drafting electronic building contracts.
  • Creating Scope of Works document for renovation projects.
  • Coordinating approvals, permits, and communication with councils, consultants, and contractors.
  • Tracking project schedules, budgets, and deliverables, and reporting progress to the Project Manager.
  • Assisting with contractor onboarding, insurances, WHS compliance, and safety documents.
  • Supporting procurement, purchase orders, and invoice processing.
  • Maintaining accurate digital filing and version control of project records.
  • Liaising with internal teams (Construction, Furnishing, Property Management) to ensure smooth project handover.
