Working closely with the production and sales teams, this role ensures that products are sourced, decorated, packed, and delivered accurately, on time, and to the highest standard.
This role requires strong attention to detail, excellent organisational skills, and the ability to work in a fast-paced environment with competing deadlines. From coordinating product decoration (engraving, foil stamping, heat press, embroidery, etc.) to quality-checking orders and managing logistics, the Production Assistant is integral to ensuring client satisfaction and smooth project execution.

- Experience (preferred but not essential):
● Previous experience in promotional products, merchandise, print, or production coordination.
● Exposure to order management systems, e-commerce platforms, or inventory management tools.
● Experience working with suppliers, logistics providers, or production teams.
● Knowledge of branding/decoration methods (engraving, foil stamping, embroidery, screen printing, heat press, etc.).
● Background in administration, project coordination, or customer service roles.
Job Responsibilities
- Coordinate concept visuals and artwork proofs, ensuring alignment with client brand guidelines.
- Manage the end-to-end production process for all decorated product orders.
- Handle inbound enquiries related to production, samples, artwork, and related requests.
- Organise and track the dispatch of goods, ensuring timely and accurate delivery.
- Communicate dispatch updates to clients, including tracking details and expected delivery timelines.
- Confirm receipt of goods with clients and resolve any delivery-related issues.
- Monitor project timelines to ensure all jobs are completed on time and to the specified standards.
- Review and cross-check supplier invoices, raising discrepancies with the Sales team before submitting them to Finance.
- Manage supplier relationships, including evaluating new suppliers and products for quality and suitability.
- Provide exceptional customer service to clients, suppliers, and partners.
- Maintain and update product and client databases to ensure accurate records.
- Support the Sales team by assisting with quotes and project documentation as required.
- Participate in daily team meetings and contribute to collaborative planning.
- Carry out general administrative tasks and provide ad hoc support as directed.
