Job Description

We are seeking a highly organized and detail-oriented Personal Assistant to join our team. This role is crucial in ensuring seamless operations by managing inquiries, bookings, emails, and calendar schedules. Additionally, the role involves bookkeeping responsibilities, including invoicing, account reconciliation, and running financial reports.

Job Qualifications/Requirements
  • Proficiency in Xero or similar accounting software is a plus.
  • Strong organizational and multitasking skills.
  • Excellent English communication skills, both written and verbal.
  • Experience with project management tools.
  • Ability to manage time effectively and prioritize tasks.
  • Detail-oriented with a high level of accuracy in work.
  • Previous experience in a similar role is preferred but not mandatory.
Job Responsibilities
  • Handle inquiries and manage bookings to the calendar.
  • Reply to emails promptly and professionally.
  • Coordinate with Daryl on job updates and provide clients with completed job files.
  • Manage and organize project management tools effectively.
  • Proficiently use Xero for all bookkeeping tasks.
  • Invoice jobs and reconcile accounts accurately.
  • Run financial reports on a monthly/quarterly basis as required.
  • Manage email correspondence efficiently.
  • Maintain and organize the calendar, scheduling meetings and appointments as needed.
  • Utilize project management tools to keep track of project progress and deadlines.
  • Ensure all project details are updated and communicated to relevant stakeholders.
