Operations & Systems Coordinator

Job Description

We’re seeking an Operations & Systems Coordinator to manage the backbone of our operations. You’ll oversee purchase orders and freight into our fulfillment centers, ensure accurate financial reporting of taxes and charges, and maintain our suite of cloud-based systems. This role is perfect for someone who’s detail-oriented, tech-savvy, and thrives on keeping things running smoothly.

Job Qualifications/Requirements
  • 2+ years in an operations, logistics, or systems support role.
  • Strong organizational skills and attention to detail.
  • Solid understanding of cloud-based business apps (Shopify, Xero, CRMs, Google Workspace).
  • Confident troubleshooting technical issues and liaising with external support.
  • Ability to manage multiple priorities across supply chain, finance, and IT.
  • Bonus: experience in eCommerce, freight forwarding, or tax compliance.
Job Responsibilities
  • Supply Chain & Finance:
    ● Handle manufacturing purchase orders from suppliers and coordinate inbound freight to fulfillment centers.
    ● Liaise with freight forwarders and logistics partners to ensure timely delivery.
    ● Collate freight taxes, duties, and charges, and prepare accurate reports for our EU tax agent.
    ● Maintain clear documentation of shipments and financial records for compliance and audits.
  • Systems & Technical Support:
    ● Manage user logins, permissions, and security across our cloud-based apps (Shopify, Xero, CRM, Google Workspace, etc.).
    ● Troubleshoot system and login issues, coordinating with vendors or support teams when needed.
    ● Maintain an up-to-date record of software tools and credentials.
    ● Identify opportunities to streamline processes by integrating or automating tools.
  • General Operations:
    ● Support cross-team projects by ensuring systems and operations align with business needs.
    ● Monitor key operational workflows and escalate issues before they become problems.
    ● Provide training and support to staff on system use where required.
