Operations & Customer Success Coordinator

Job Description

We’re currently looking for an exceptionally organised, proactive, and positive-minded Operations & Customer Success Coordinator to support our day-to-day operations and customer interactions. You’ll work closely with the two founders of the company and be exposed to nearly all parts of running an e-commerce business—offering exciting opportunities to grow in the areas that interest you most.

Job Qualifications/Requirements
  • Female, ideally aged 26–35, who thrives in a flexible, on-site setup.
  • At least 2–3 years of experience in a VA, coordination, or operations support role.
  • Exceptional organisation skills—can juggle tasks and still keep cool.
  • Strong communicator: you’re great at updating on progress and flagging when capacity is tight.
  • A self-starter who anticipates needs and loves getting things done.
  • Familiarity (or willingness to learn) with:
    • Shopify, Xero, Canva, Meta Business Suite, Microsoft 365.
Job Responsibilities
  • Customer Love (Daily to Weekly):
    • Respond to customer emails and social messages via Meta Inbox.
    • Manage Shopify reviews via Okendo.
    • Track and follow up with customers as needed (email, SMS, IG DM, FB).
    • Manage inbox organisation—achieve inbox zero each day.
    • Create packing slips, order forms, and Invoices.
  • Operations & Reporting (Weekly to Monthly):
    • Assist with weekly reports from Xero and Shopify (we’ll train you!).
    • Maintain updated stock and inventory documents.
    • Contact with warehouses
    • Maintain sales reports
    • Manage Shipping documentation
    • Supply Chain assistance and support
  • Creative Support (Ad-Hoc):
    • Create and resize images using Canva for website, ads, or printed collateral.
    • Upload and publish content to YouTube and Shopify.
    • Help design thank-you cards, postcards, stickers, and more.
    • Organise Canva folders as directed.
  • Internal Process & Team Support:
    • Document SOPs regularly using Loom or written processes
    • Track and report on weekly goals and priorities
    • Update VA task sheets with completed, pending, or new requests
    • Communicate upcoming availability, capacity, and priorities with the team
    • Support calendar management and reminders for key deadlines
